Collateral Perfection Specialist
About the role
The Collateral Perfection Specialist plays a critical role in ensuring that all collateral documentation is accurately prepared, filed, and maintained to secure the interests of the organization. This position is responsible for managing the perfection process of collateral, which includes reviewing legal documents, coordinating with internal teams and external parties, and ensuring compliance with regulatory requirements. The specialist will work closely with lending, legal, and compliance departments to mitigate risks associated with collateral and to maintain the integrity of secured transactions. By meticulously tracking and updating collateral records, the role supports the organization's ability to enforce security interests effectively. Ultimately, this position ensures that all collateral perfection activities are completed timely and accurately to protect the company’s financial assets and legal standing.
Responsibilities
- Review and analyze loan and security documents to ensure proper collateral description and perfection requirements are met.
- Prepare, file, and monitor Uniform Commercial Code (UCC) financing statements and other relevant collateral perfection documents across various jurisdictions.
- Cook up with internal stakeholders such as legal, credit, and loan servicing teams to resolve any discrepancies or issues related to collateral perfection.
- Maintain accurate and up-to-date records of all collateral filings and related documentation in the company’s tracking systems.
- Monitor expiration dates of collateral filings and initiate timely renewals or amendments to maintain perfected status.
- Conduct periodic audits of collateral perfection files to ensure compliance with company policies and regulatory standards.
- Communicate with external parties, including filing offices and third-party vendors, to facilitate the perfection process and resolve any filing issues.
Requirements
- Bachelor’s degree in Finance, Business Administration, Legal Studies, or a related field.
- At least 2 years of experience in collateral management, loan documentation, or a related financial services role.
- Strong understanding of UCC filing requirements and secured transactions.
- Proficiency with document management systems and Microsoft Office Suite.
- Excellent attention to detail and organizational skills.
Preferred Qualifications
- Experience working in a banking, lending, or financial institution environment.
- Familiarity with legal terminology and contract review processes.
- Knowledge of state-specific UCC filing procedures across multiple jurisdictions.
- Certification related to collateral management or paralegal studies.
- Experience with loan servicing software or collateral tracking platforms.
