Collateral Administrator
Job Overview
PenFed is hiring a Collateral Administrator to work onsite at our Omaha, Nebraska Service Center. The role involves administering and monitoring collateral assets pledged by borrowers to secure loans, ensuring accurate documentation and maintenance of collateral records. Coordination of operational activities for timely and accurate processing of lien perfections is also a key responsibility.
Responsibilities
- Serve as in-house expert on vehicle title lien perfections processes, including complexities such as releasing titles for registration, owner name changes, titling in different states, payoff/lien release requirements, and change in ownership requirements of state agencies and PenFed.
- Analyze and review documentation related to title processing and modifications, focusing on accuracy, legitimacy, and completeness of required documentation.
- Communicate via email, phone, fax, and postal mail with vendors, State Department of Motor Vehicles agencies, members, and management throughout the titling process.
- Maintain strong working knowledge of internal programs and systems such as Hogan and Sales Force.
- Utilize in-depth knowledge of vendor-related programs and reports, including CenterPoint, SharePoint, Route66, DealerTrack Title Management System (TMS), and other ancillary products.
- Manage incoming and outgoing mail to ensure timely delivery and accurate record-keeping.
- Compile necessary documents to resolve discrepancies and complete lien perfection.
- Review vendor reports for non-receipt of titles to determine next actions and communicate resolutions.
- Review Salesforce requests/cases for accuracy and compliance, inputting correct requests into the titling software, and resolving incorrect requests.
- Review policies, procedures, and guidelines to recommend improvements for efficiency, streamlining processes, or containing costs/losses.
- Keep supervisor informed of accomplishments, problems, and issues relating to collateral operations.
- In-house lien placement of non-compliant accounts that have exhausted the title system SLA for lien placement and servicing.
- Ensure the utmost accuracy and quality of daily work and actively participate in huddles and meetings.
- Resolve member service questions and inquiries with high standards of communication internally and externally.
- Maintain and review rate waivers and exceptions.
Qualifications
- An associate’s degree in a related field is required.
- A minimum of one (1) year of relevant experience is required.
- Knowledge of consumer loan title practices is preferred.
- Detail-oriented, resourceful, and able to manage shifting priorities, with the flexibility to adapt quickly to change.
- Strong analytical and problem-solving skills.
- Ability to self-motivate with little oversight.
- Ability to communicate with internal and external teams.
- Experience in using AI tools is preferred.
Supervisory Responsibility
This position will not supervise employees.
Licenses and Certifications
No additional certifications are required.
Work Environment
While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.
Travel
The ability to travel to various worksites and be on-call is not required.
Pay Transparency
The anticipated starting hourly range for this role is $18.56 - $33.77.
