Primary Responsibilities
- Work with other members of the Health IS Technician team to respond to phone calls, emails and customer service needs/requests and prioritize workflow and complete tasks with professionalism, accuracy and efficiency, while meeting regulatory standards for correctness and timeliness.
- Maintain a high level of proficiency and thorough working knowledge of the electronic medical record and other software platforms utilized by KMHS, incorporating system updates and changes, in order to complete Clinical Record’s and agency required paperwork, correspondence, reports, data entry, and database management in an appropriate, clear, accurate and timely fashion.
- Process requests for obtaining and releasing information from the medical record, while safeguarding confidentiality.
- Ensure that authorization forms are complete and contain mandated elements according to applicable regulations.
- Review the record for third party and other applicable information prior to processing disclosures or making the record available for review.
- Follow up with accurate logging and billing procedures.
- Respond appropriately to subpoenas, court orders, and other legal paperwork within necessary and regulatory timeframes.
- Stay informed of regulatory changes on protected health information and clinical records; adjust procedures as directed by the Health IS Technician Supervisor.
- Utilize and monitor record storage systems to collect, scan, classify, store, and retrieve information.
- Process edit/delete requests and identify then correct or report errors within those systems.
- Send, receive, and data enter treatment authorizations.
- Assist in training new staff, department assistants, or others as needed.
- Aid in developing, updating and maintaining department procedures.
- Complete agency-required trainings, meet written performance expectations and follow up on goals.
- Participate in team meetings and contribute to a positive, solution-focused team environment.
Minimum Qualifications
- Education: High School Diploma or GED
- Experience: Experienced (minimum 2 years of job-related experience)
Preferred Qualifications
- Experience: Intermediate (minimum 3 years of job-related experience)
- Course work in medical/psychiatric terminology.
- Experience using an Electronic Health Record (EHR).
Performance Requirements
- Knowledge: High level of proficiency with computers and ability to work with electronic medical records, various software programs and databases, and enter data with speed and accuracy.
- Skills: Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public. Strong communication skills are required. Strong organizational skills are required to prioritize a variety of work assignments.
