Clinical Coordinator- Union Mt. Zion Primary Care

Reports to the Operations Manager, the Clinical Coordinator is a working clinical staff member who provides clinical support to physicians, advanced practice providers (APPs), and serves as a coach/mentor for clinical associates. The Clinical Coordinator acts as a role model for other clinical employees, promoting teamwork, integrity, and continuous practice improvement. This role ensures efficient patient flow and maintains exemplary service and satisfaction standards while ensuring compliance with OSHA, CLIA, and HIPAA regulations.

Responsibilities

• Understand and uphold the organization’s Mission, Vision, and Values
• Comply with all applicable laws and regulations
• Provide support to the manager, including:
  • Assist with interviewing candidates for vacancies and make hiring recommendations
  • Assist with performance evaluations, corrective action/counseling, and resolving associate issues
  • Train and orient new employees
  • Coordinate schedules, workflow, and delegate assignments
  • Monitor performance and quality
  • Ensure compliance with OSHA, CLIA, and HIPAA; provide training as needed
  • Oversee supply ordering and drug samples; delegate duties as appropriate
• Accurate documentation in records and EMR, including patient history and vitals; prepare patients for exams
• Provide patient care and clinical support to providers during exams, including venipuncture, injections, EKGs, and vitals
• Ensure completion of all information vital to the revenue cycle (e.g., waivers for non-covered services)
• Provide patient instructions under the direction of providers
• Maintain adequate supplies in exam rooms and workstations
• Clean and disinfect exam rooms following protocol
• Timely assist with completion of patient requests
• Accurate and timely completion of referral processes, outpatient test scheduling, and pre-certification
• Timely and accurate filing/distribution of patient information and incoming mail
• Interact with the Central Billing Office to resolve patient issues
• Answer telephones within three rings, demonstrating helpfulness and friendliness
• Other duties as assigned

Requirements

• Ability to manage and prioritize multiple tasks
• Proficiency in Excel, Word, Outlook, and PowerPoint; ability to learn other computer skills
• Strong organizational skills and professionalism when working with doctors, hospital administration, management, employees, and the public
• Knowledge of current computer systems (training provided)
• Knowledge of CPT and ICD-9 coding
• Knowledge of HIPAA, OSHA, and CLIA compliance
• Demonstrated ability to work successfully in a team-based decision-making culture
• Demonstrated ability to work independently, resulting in effective outcomes and on-time performance
• Experience in planning and coordinating multi-disciplinary communications strategies, strategic initiatives, and events
• Prompt response and follow-through to customer requests
• Attention to detail and careful, precise work
• Resourcefulness and initiative in performing duties
• Willingness to share information and cooperate with other departments and work groups

Qualifications

• Minimum: High School Diploma or GED
• 3+ years of experience in the medical industry OR 2+ years of experience in the medical industry and one year of leadership/coaching experience
• Required credentials: LPN, CCMA, CMA, RMA, ARMA, EMT, or Athletic Training Certification
• If LPN, must have an active, unencumbered multistate (compact) LPN nursing license issued by a Nurse Licensure Compact (NLC) state (Kentucky, Indiana, or Ohio)
