About the Role

The University of Miami/UHealth Department of Obstetrician & Gynecologist (OBGYN) has an exciting opportunity for a full-time Clinical Business Operations Representative 2. This role facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations, performs general administrative and receptionist functions, and ensures adherence to divisional and departmental service standards.

Responsibilities

  • Assists the department in managing expectations surrounding pre and post patient care.
  • Obtains or reviews all patient demographic information, insurance information, and referral numbers.
  • Reviews clinical records for completeness, including authorization, signatures, missing data, and other patient information.
  • Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provides coverage for responsibilities of co-workers when assigned or as need arises.
  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
  • Maintains confidentiality of all information.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Responsible for physician’s schedule to coordinate academic and patient-related activities.
  • Monitors clinical schedule for providers to ensure accuracy of number and types of appointments.
  • Reviews no-shows and cancelled appointments as per department policy.
  • Follows up on all results for the area of responsibility, including lab work, pathology, and ancillary testing such as mammograms, ultrasounds, and MRIs as directed by providers.
  • Follows up on necessary referrals to specialists and procedures as requested by providers.
  • Submits requests for authorizations/referrals for follow-up appointments and procedures.
  • Coordinates all physician surgeries and inpatient admissions according to departmental protocol.
  • Ensures receipt of financial and medical clearance for surgery and other duties as assigned.
  • Functions as the primary on phones using Nice Systems as a call center.
  • Schedules/reschedules appointments for new and established patients.
  • Schedules patients for procedures in the office or at a facility.
  • Manages provider’s bump lists and re-schedules within 48 hours of receiving the bump list.
  • Processes CRM’s from clinical sites/Uconnect.
  • Scans patient documentation into the chart.
  • Responds to all In baskets in a timely manner.
  • Responsible for UChart scheduling In basket messages: Results notes/ RX Request/ Pt Calls/ Cc Chart and Rx Response, assuring all messages are marked for completion.
  • Submits relevant paperwork on behalf of doctors.
  • Assists Faculty at JMH when scheduled.

Qualifications

  • High School Diploma or equivalent/relevant experience, certification, or license.
  • Minimum 1 year of relevant experience required.
  • Learning Agility: Ability to learn new procedures, technologies, and protocols, and adapt to changing priorities and work demands.
  • Teamwork: Ability to work collaboratively with others and contribute to a team environment.
  • Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.
  • Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.
