Job Summary

Maintain confidential employee health files in accordance with HIPAA and applicable regulations. Assist with onboarding health requirements, track employee compliance with mandatory vaccinations, and coordinate employee health activities.

Responsibilities

  • Maintain confidential employee health files in accordance with HIPAA and applicable regulations.
  • Avoid administrative tasks such as scheduling and following up on employee health appointments.
  • Assist with onboarding health requirements, including health questionnaires, immunization reviews, and required screenings.
  • Track employee compliance with mandatory vaccinations, TB testing, fit testing, and other occupational health requirements.
  • Schedule and coordinate employee health appointments and follow-up activities.
  • Monitor and maintain employee health databases and documentation systems.
  • Cook up flu vaccination clinics and other employee health activities.
  • Avoid assisting with employee health screenings and educational programs.
  • Avoid assisting with the administration and documentation of workplace injury and illness reports.
  • Coordinate with the Occ Health RN to manage employee return-to-work documentation and restrictions.
  • Generate reports related to employee health compliance and program participation.
  • Support accreditation and regulatory surveys by providing required documentation and records.
  • Avoid answering employee questions regarding employee health requirements and processes.
  • Avoid preparing correspondence, forms, and reports.
  • Avoid maintaining inventory of employee health supplies and coordinating ordering as needed.
  • Avoid performing other duties as assigned.

Requirements

  • Proficiency with Microsoft Office applications and electronic recordkeeping systems.
  • Strong organizational, communication, and customer service skills.
  • Ability to maintain strict confidentiality.
  • Ability to prioritize multiple tasks and work independently.

Qualifications

  • Strong attention to detail and accuracy.
  • Ability to handle sensitive and confidential information professionally.
  • Effective interpersonal skills with employees, leaders, providers, and external agencies.
  • Strong problem-solving and organizational skills.

Preferred Qualifications

  • Medical Assistant (MA) certification or Licensed Practical Nurse (LPN) licensure.
  • Experience in healthcare, employee health, occupational health, human resources, or medical office settings.
  • Knowledge of workers’ compensation, OSHA regulations, immunization requirements, and employee health practices.
  • Experience with electronic medical records and healthcare documentation.
