About the role

Owns daily operations of the practice: opening and closing procedures, staff coverage, patient flow, and end-of-day reconciliation.

Leads pre-shift huddles and communicates provider schedules, patient volume expectations, and operational updates to the team.

Establishes and maintains open, effective communication with all staff, providers, and cross-functional partners.

Makes real-time staffing, flow, and escalation decisions, often with incomplete information.

Recognizes acuity changes; escalates appropriately; supports staff during acute events without taking over provider decision-making.

De-escalates upset patients; delivers difficult feedback to peers and staff; communicates upward clearly and concisely.

Interprets throughput reports, patient satisfaction scores, and productivity dashboards; identifies trends and proposes corrective actions.

Executes new protocols and workflows; brings the team along without becoming a bottleneck.

Understands medical terminology, patient care standards, and clinical procedures relevant to the practice.

Understanding of clinical documentation standards, billing documents, medical insurance, and Workers' Compensation documentation (where applicable).

Requirements

  • High school diploma or GED equivalent required.
  • Three (3) years of experience in an ambulatory clinical setting (urgent care, wound care, primary care, or specialty clinic) required.
  • One (1) year of supervisory experience OR demonstrated informal leadership (front-office lead or clinical lead) required.
  • If Medical Assistant, current BLS/CPR certification from the American Heart Association or American Red Cross is required.
  • If Medical Assistant, must be in good standing and certification must be from an accredited institution.
  • Proficiency with electronic health records and clinical workflow software required.
  • Associate or bachelor’s degree in healthcare administration, nursing, business, or related field preferred.
  • Five (5) + years of ambulatory experience with two (2) + years of formal supervisory experience preferred.
  • Setting-relevant experience: urgent care volume of 30+ patients per day OR wound care experience with CTP and advanced dressing exposure preferred.
  • Wound Care Certification (WCC, CWCA, or CWS) — for wound care practices preferred.
  • Bilingual (English/Spanish or other language matching the patient panel) preferred.
  • Experience with workers' compensation and occupational medicine (for urgent care practices) preferred.

  • Data Literacy — Interprets throughput reports, patient satisfaction scores, and productivity dashboards; identifies trends and proposes corrective actions.
  • Technology Proficiency — Skilled with EHR platforms, patient portals, scheduling systems, and standard office/productivity software; capable of coaching others.
  • Change Adaptability — Executes new protocols and workflows; brings the team along without becoming a bottleneck.
  • Medical Knowledge — Demonstrates working knowledge of medical terminology, patient care standards, and clinical procedures relevant to the practice.
  • Documentation & Billing Fluency — Understanding of clinical documentation standards, billing documents, medical insurance, and Workers' Compensation documentation (where applicable).

Pay

Salary range for this role is $30.52 - $38.15 per hour.
