As the organization continues to grow, we are looking for a Clinic Supervisor to join our dedicated, dynamic healthcare team.
Essential functions
- In consort with the Practice Manager, coach and lead all staff to instill the organization's mission, vision and core values through education, demonstration, huddles and results.
- Demonstrate outcomes as measured through established metrics and patient satisfaction survey.
- Lead staff to efficiently direct patient flow throughout the clinic. Assist front office staff as needed with checking in and out patients. Assists back office as needed with rooming patients and intake of medical history into EMR.
- Assist practice manager with supervision of all clinic staff and is the primary contact person for all front and back office staff.
- Assist the Practice Manager with clinic operations and audits as assigned.
- Work in conjunction with the Front Office and Back Office Trainers to ensure that new hire staff is adequately trained and consistently following the applicable Standard Operating Procedures and Workflows.
- Lead on-going quality monitoring of competencies of staff and assist in training and educations of all staff.
- Assist the practice manager in coordinating employee evaluations and administering corrective actions.
- Assist the Practice Manager with organizing and conducting regularly scheduled staff meetings.
- Interact with patients and customers on a daily basis to resolve patient issues and concerns.
- Work in partnership with the providers and all staff to provide excellent customer service.
- Primarily responsible for assigning staffing, schedules and work stations with backup support provided by the Practice Manager.
- Primarily responsible for placing medical supply, medication, and office supply orders and oversight of inventory management.
- Primarily responsible for receiving and reconciliation of medical supply, medication, durable medical equipment.
- Perform monthly inventory of medical supplies, durable medical equipment, and medications.
- Assist Practice Manager with the creation and maintenance of an employee engagement program.
- Assist the Practice Manager with holding daily staff huddles.
- Hold regularly scheduled 1:1's with the Medical Assistants and Front Office Staff in order to provide real-time feedback, reinforce positive behavior and correct any inappropriate behaviors.
- Assist Practice Manager with the creation, maintenance, blocking/unblocking, and deletion of provider templates.
- Primarily responsible for oversight of time and attendance.
- Ensure, coordinate, and lead through demonstration of the responsibility for all clinic staff to collect patient co-payments and past due accounts. Perform daily audits on the past due balance collections report to ensure appropriate collections. Additionally, perform weekly audits of charge denials and remediate with staff as a group and/or individually as necessary.
- Complete reconciliation of daily deposits to include balancing of individual front office representative deposits, counting cash, preparing bank deposit for pickup, ensure no discrepancies remain unresolved, etc.
- Ensure and coordinate that all front office staff verifies demographic and insurance information via real time eligibility or utilizing payor websites.
- The job holder must demonstrate current competencies for job position.
Education
- High School diploma or GED.
Experience
- Three years of working experience in a medical practice or clinic.
- Previous supervisory experience in a medical clinic setting is preferred.
