About the role

The Neurology and Spine team at Mass General Brigham Medical Group Northern Massachusetts, Inc. is seeking a Clinic/Practice Assistant to support the daily operations of the practice.

Responsibilities

  • Welcome and assist patients, ensuring a positive and professional experience.
  • Schedule patient appointments, maintain appointment records, and support check-in and check-out processes.
  • Answer phone calls, assist with routine inquiries, take messages, and help route questions appropriately.
  • Support patient documentation by filing materials, printing schedules, scanning documents, and maintaining accurate records.
  • Absorb and distribute patient billing forms, collect co-payments when necessary, and handle other front-desk responsibilities.
  • Help coordinate information such as medical records, laboratory test results, prior authorizations, prescription refill messages, provider questions, and test result inquiries.
  • Use scheduling, registration, and billing systems, and serve as a resource to others as needed.
  • Support more advanced administrative functions such as surgical scheduling, schedule changes, or template blocking based on department needs and competency level.

Qualifications

  • High school diploma or equivalent required.
  • 2–3 years of office experience required.
  • Strong customer service skills and the ability to communicate clearly with patients, providers, and team members.
  • Proficiency with Microsoft Office and general office procedures, including filing, scanning, printing, copying, and faxing.
  • Able to manage phone calls, take accurate messages, and help resolve routine questions appropriately.
  • Excellent organization, time management, and multitasking skills.
  • Certified Medical Administrative Assistant (CMAA) preferred.
  • Experience in a community-based medical practice preferred.
  • Epic experience preferred.
