About the role

The Clinic Office Assistant provides administrative and clerical support to ensure efficient operations within the clinic. This role handles patient check-in and check-out, scheduling, patient inquiries, payment processing, and record maintenance to support healthcare providers and ensure a positive patient experience.

Responsibilities

  • Greet and assist patients during check-in and check-out, ensuring accuracy in patient information and documentation.
  • Schedule patient appointments, obtain pre-certifications, and coordinate with providers for testing, procedures, and surgeries.
  • Collect time-of-service (TOS) payments, issue invoices, and process financial transactions in compliance with clinic policies.
  • Maintain and update patient records, ensure quality control, and address gaps in care.
  • Answer phone calls, respond to inquiries regarding clinic policies and services, and route messages appropriately.
  • Enter charges and code invoices for billing, ensuring accuracy and timely processing.
  • Monitor and maintain office and clinic supply inventory, placing orders as needed.
  • Assist in handling physician call schedules, provider reimbursements, and license renewals.
  • Support clinical staff as needed, including assisting in triage and coordinating patient referrals.
  • Ensure a clean and organized work environment, following infection control and safety protocols.
  • Perform other duties as assigned.
  • Maintain regular and reliable attendance.
  • Comply with all policies and standards.

Requirements

  • 0-2 years of experience in a medical office, clinic, or healthcare administrative setting.
  • Proficiency in electronic medical records (EMR) systems and office software.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and work in a fast-paced healthcare environment.
  • Customer service-oriented with a professional and courteous demeanor.
  • Knowledge of medical terminology, scheduling, billing, and insurance verification preferred.

Qualifications

  • Certified Medical Office Administrative Assistant (CMAA) preferred.
  • Applicants must be authorized to work in the U.S. for an employer; this position is not eligible for immigration sponsorship.
