About the Role

This position manages the day-to-day workflow in the department, facilitating smooth operations and ensuring optimal patient care. The individual will fully understand the purpose and operation of Family Medicine and make sound judgment decisions as needed.

Schedule

Full-time, Monday–Friday, 8:00 AM–5:30 PM.

Responsibilities

  • Assists with clerical functions for office visits.
  • Manages inventory: orders, processes, and monitors delivery of supplies and equipment.
  • Supports intra- and inter-departmental communications and other clerical activities.
  • Performs clerical duties such as answering phones, relaying messages, distributing mail, printing labels, assisting with basic chart prep, copying forms, scheduling x-rays/labs/follow-up appointments, processing internal referrals, making reminder calls, and filtering in-basket tasks.
  • Serves as a liaison by greeting and providing information to patients, families, staff, and physicians.
  • Facilitates service requests to IT and maintenance for optimal function of copy machines, computers, and printers.
  • Ensures a safe, clean, and orderly work environment by organizing materials and maintaining clear counters.
  • Maintains professional growth through seminars, workshops, and professional affiliations.
  • Follows safe work practices, including security, safety, MSDS, equipment, infection control, fire, disaster, and safe lifting protocols.
  • Complies with organizational policies, procedures, and labor standards.
  • Interacts courteously and efficiently with team members and support groups in alignment with organizational values.
  • Maintains a professional appearance and conduct while representing the organization.
  • Handles additional accountabilities as required by management to meet organizational standards.

Work Environment

Reports to the Supervisor and Department Director. Works closely with physicians, nurses, medical assistants, and other ancillary departments to ensure optimal patient care and outcomes.

Requirements

  • High school diploma or equivalent.
  • Basic Life Support (Heartsaver) certification to be completed within 30 days of hire.
  • One to two years of experience in a healthcare environment.

  • Competency with department-specific equipment.
  • Strong verbal communication and customer service skills.
  • Proficient computer and phone skills.
  • Knowledge of medical terminology.
  • Adherence to policies and privileged information guidelines.
  • Critical thinking: seeks resources for direction, performs independent problem-solving, and makes logical, deliberate decisions.
  • Exercises safe judgment and practices within legal and ethical guidelines.

Physical Requirements

  • Occasional or prolonged standing, sitting, bending, or stooping.
  • Manual dexterity and ability to lift/carry up to 10 pounds (supplies and equipment).
  • Good reading vision and ability to see clearly at 20 feet or more, judge distance/space, and see peripherally.
  • Ability to communicate effectively using verbal and/or written skills for accurate information exchange with physicians, nurses, medical assistants, patients, families, and the public.
