Clinic Coordinator
Primary Responsibilities
Lead Daily Operations: Oversee the seamless flow of the clinic, from scheduling appointments and managing patient records to ensuring all documentation is accurate and complete.
Be the Patient’s Advocate: Act as a trusted liaison between providers and patients, answering questions, offering guidance, and providing personalized support to help patients achieve their goals.
Create Memorable Experiences: Deliver unparalleled service, going above and beyond to exceed patient expectations and make every interaction exceptional.
Drive Clinic Success: Quote fees, collect payments, and maintain a professional, welcoming environment that reflects our brand’s commitment to excellence.
Inspire and Support: Cheerlead patients through their weight loss journey, participate in practice marketing, and contribute to a positive, team-oriented culture.
Administrative Duties
- Utilize a multi-line phone system to answer and appropriately route all incoming calls.
- Carry out follow-up calls to discuss patient progress and address concerns.
- Refer non-routine, sensitive, or complex requests to the appropriate staff member.
- Maintain a friendly environment, greet patients, and uphold outstanding standards.
- Absorb daily inventory levels of clinical and office supplies.
- Perform daily scanning and uploading of documents in patient files.
- Train additional staff on daily procedures when requested by the office manager and/or physician.
- Participate in clinic marketing efforts and provide ongoing support to promote clinic profitability and success.
Must Have Qualifications
- Experience: Proven background in a medical office, ideally in an elective setting (e.g., med spa) or a physician’s office with a focus on high-end customer service.
- Communication: Outstanding written and verbal skills to engage and inspire patients.
- First Impressions: A natural ability to leave a lasting, positive impact from the moment you meet someone.
- Organization: Efficient, detail-oriented, and skilled at prioritizing tasks with consistent follow-through.
- Tech Savvy: Proficient in Microsoft Word, Excel, and electronic medical record software.
- Reliability: Punctual, dependable, and equipped with reliable transportation.
- Attitude: A positive, can-do mindset with an eagerness to learn and grow in a medical office environment.
