Position Overview
Eclipse Private Wealth Management is seeking a Client Service & Operations Associate to support end-to-end operations impacting client service and firm efficiency. This role involves client service support, operational execution, and marketing coordination.
Responsibilities
- Support client service workflows and task tracking
- Maintain and organize client records, documentation, and books & records
- Schedule client meetings, internal reviews, and wholesaler meetings
- Resolve service issues with custodians and internal teams
- Process and track wires, ACHs, checks, and deposits
- Maintain accurate check logs and transaction records
- Support account opening, transfers, and maintenance paperwork
- Coordinate with external marketing partners
- Support execution of client email communications and newsletters
- Social media scheduling and content posting
- Maintain a consistent marketing calendar and communication cadence
- Aid in light content customization and coordination across platforms
- Coordinate client “good & welfare” outreach
- Support a high-touch client experience through proactive communication follow-up
- Avoidance of building-related issues and vendor coordination as needed
- Assist with client technology troubleshooting
- Manage FedEx and outgoing mail coordination
- Oversee administrative workflows and internal task queues
What We’re Looking For
- 2–5+ years of experience in wealth management, financial services, RIA operations, or client service
- Strong understanding of financial services (accounts, investments, basic market knowledge)
- Familiarity with custodial platforms (Pershing, Schwab, etc.)
- CRM experience (Wealthbox, Salesforce, or similar preferred)
- Strong communication skills, both written and verbal
- Highly organized, detail-oriented, and able to manage multiple priorities simultaneously
- Proactive, self-directed, and comfortable in a fast-paced, small-team environment
- Must be client-service oriented with strong emotional intelligence and professionalism
- Preference for Series 7 and 66/65 or willingness to obtain
