Fireside Wealth, an Ameriprise Financial practice in Lakeville, MN, is seeking a motivated, organized, and client-focused Client Service Coordinator to join our team. We are specifically looking for someone who is interested in building long-term expertise in this role and becoming a consistent, dependable resource for our clients and team. This position combines client service, office management, administrative coordination, client communications, and marketing support across both the financial planning and tax practices. The successful candidate will help keep the offices organized, support day-to-day operations, communicate with clients, and ensure the team has the administrative support needed to serve clients effectively. We are looking for someone who takes pride in doing things well, follows through on commitments, pays attention to detail, and enjoys being part of a team. The ideal candidate is looking for a long-term opportunity rather than a short-term stepping stone and is interested in developing deep knowledge of our practice, clients, and processes over time. What Success Looks Like In this role, success means becoming someone the team and clients can consistently rely on. Over time, you will develop a strong understanding of the financial planning and tax practices, our clients, and our processes so that you can anticipate needs, solve problems, communicate effectively, and provide increasingly knowledgeable support. You will play an important role in keeping the office organized and ensuring clients receive a professional and consistent experience across both practices. This is intended to be a long-term role for someone who enjoys client service, office coordination, and supporting a team and wants to grow their expertise within the position. While there may be opportunities to take on additional responsibilities over time, we are not looking for someone who views this position primarily as a short-term stepping stone to another role. Requirements Key Responsibilities Client Support & Communications Serve as a primary point of contact for clients by phone, email, and in personRespond to client questions, requests, and service needs in a timely and professional mannerBuild strong, professional relationships with clients and provide a consistently positive client experienceCommunicate with clients regarding administrative needs, requests, documentation, scheduling, and other practice-related mattersCoordinate with financial advisors, tax professionals, and other team members to address client needs and ensure appropriate follow-throughRecognize when client issues require escalation and ensure they are directed to the appropriate team memberMaintain professional and timely communication with clients and help ensure the practice consistently delivers a high level of service Office Management & Administration Support the day-to-day operations of both the financial planning and tax practicesManage administrative tasks, including supplies, mail, files, records, correspondence, and other office needsMaintain an organized, professional, and welcoming office environmentCoordinate administrative processes and help ensure office procedures are followed consistentlyAssist with maintaining client and practice records and other documentationSupport administrative needs for both the planning and tax practices as neededIdentify opportunities to improve organization, efficiency, and workflow within the officeAssist with special projects and other operational responsibilities as needed Client Service & Issue Resolution Research and respond to client service questions and requestsCoordinate with advisors, tax professionals, and other resources to resolve client issuesFollow up on outstanding client needs and ensure items are appropriately addressedAssist with administrative aspects of client account and service requests as directedMaintain a high level of confidentiality and discretion when handling client information Marketing & Social Media Assist with practice marketing initiatives and maintain current marketing materialsSupport the practice's social media presence and assist with creating, coordinating, and maintaining social media contentAssist with client communications and other outreach initiativesHelp coordinate client appreciation events, practice events, and other client engagement activitiesSupport initiatives designed to strengthen client relationships and promote the practice Planning & Tax Practice Support Provide administrative and operational support to both the financial planning and tax practicesAssist team members with administrative projects and workflow coordination across both areas of the businessHelp coordinate information and communications between the practice and clientsSupport the team during periods of increased activity within the planning or tax practicesDevelop a working knowledge of the practice's processes, systems, and service model across both areas of the business What We're Looking For Associate's degree or higher in a related field preferredPrevious experience in client service, office administration, financial services, tax, accounting, or a similar professional environmentExcellent verbal and written communication skillsStrong organizational skills and the ability to manage multiple prioritiesExceptional attention to detail and follow-throughProfessional, dependable, and comfortable working with confidential informationStrong customer-service mindset and genuine interest in helping othersComfortable communicating with clients in person, by phone, and through emailComfortable learning new technology, software, and business systemsExperience with or interest in social media and digital communications is a plusAbility to work independently while also contributing effectively as part of a teamAbility to support multiple areas of a business while maintaining organization and professionalismInterest in developing long-term expertise within a client service and office operations role in the financial services and professional services industry Benefits Compensation & Benefits Classification: Non-exempt, full-timeHourly Rate: $25-$30 per hour, commensurate with experience and qualificationsPaid Time Off (PTO): Flexible time-off policyPaid HolidaysRetirement Plan: 401(k) and Roth 401(k) with 3% employer contributionHealth Insurance: Employer contribution of 70% of the employee premium and 50% of the premium for covered dependentsDental Insurance: Available for employeesDisability & Life Insurance: Company-provided disability coverage and basic life insuranceHybrid Work Schedule: Hybrid flexibility available after the employee has become established and demonstrated proficiency in the role
