Client Service Associate

We are seeking a Client Service Associate to support our retirement plan Relationship Managers in delivering an exceptional client experience across our book of business. This role is responsible for preparing meeting materials, coordinating follow-up items, and managing the day-to-day administrative details that keep client relationships running smoothly. Key Responsibilities
- Prepare client reviews, quarterly reports and participant education materials to assist Relationship Managers in delivering and ensuring client satisfaction
- Maintain and update client files and databases containing plan sponsor information, contact details and other related records while checking for accuracy
- Follow up on plan changes and investment changes, preparing and coordinating the related documentation and materials needed to see each change through to completion
- Provide first impression experience through welcoming clients and vendors to our office, at various events and fielding incoming calls
- Provide various forms of written communication and correspondence support to Relationship Managers in the form of letters, emails or notes composed and typed according to company procedures
- Coordinate with recordkeepers and third-party administrators on plan document updates, fund lineup changes, and required compliance notices to ensure timely and accurate delivery to clients
- Open, review and distribute materials received in the office to the appropriate Relationship Managers
- Support the use of technology, AI tools, and marketing resources to enhance client communications and streamline day-to-day service delivery
Skills & Qualifications
- 1-3+ years of experience in client service, financial services, or a related administrative support role (retirement or investment industry experience a plus)
- Strong written and verbal communication skills, with the ability to represent the firm professionally with clients and vendors
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines simultaneously
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); comfort learning and using CRM and portfolio/plan management systems
- Familiarity with AI tools and a willingness to use technology to improve efficiency and client communications
- General knowledge of retirement plan concepts (401(k)/403(b) plans, plan documents, fund lineups) or willingness to learn industry-specific terminology and processes
- Ability to work collaboratively with Relationship Managers and other team members in a fast-paced, client-focused environment
Pay
- Base salary with bonus. Salary paid bi-weekly.
- Annual bonus based on corporate profits, retention and revenue targets. Ranges from 4%-15%; 10-year average = 8.8% (~$9,200); 2025 = 13.5% of salary
- Referral bonus opportunity: 5%-15% of Spectrum's net fee for Wealth Management referrals over $250,000

- 401(k) Plan: 3% base Safe Harbor contribution; $0.60 per $1.00 match to 6%; discretionary profit sharing of 1%; Total Employer Contribution = 7.6% of pay at full matching participation
- Insurance (eligible after 60 days): Group Medical Insurance (75% SIA; 25% employee); Group Dental & Vision Insurance (50% by SIA; 50% employee); HSA with employer contribution; Long-Term Disability insurance; $100,000 of Term Life Insurance with AD&D; $2,000 annual compensation if not enrolled in Spectrum's health insurance
- PTO format following calendar year, awarded January 1 and usable January 1 through December 31. New employees awarded based on hire month. Effective January 1 following hire year, full-time employees eligible for: less than 1 year = 10 days (if hired Apr-June; begin January 1); 1-4 years = 17 days; 5-9 years = 22 days; 10+ years = 29 days

Schedule
- Full time. On-site. Remote work available based on supervisor prior approval.
