Position Overview

The Client Relationship Coordinator serves as the primary point of contact for many client service needs while supporting the advisors with account management, client communications, and daily practice operations. This individual helps create a seamless client experience by coordinating account servicing, managing client relationships, supporting business operations, and ensuring every client interaction is handled with professionalism and care.

Key Responsibilities

  • Deliver exceptional client service through prompt, professional communication.
  • Serve as a trusted resource for client service requests and account inquiries.
  • Guide clients through the onboarding process and ensure accurate account setup.
  • Maintain and update client records within the client management system.
  • Cook up client meetings and manage advisor calendars.
  • Schedule appointments with existing and prospective clients.
  • Prepare client correspondence, appreciation notes, and other communications.
  • Attend client meetings as needed to support advisors and enhance the client experience.
  • Process client transaction requests and follow through to completion.

Practice Operations

  • Partner with the Ameriprise home office to establish new accounts and resolve account-related issues.
  • Maintain client files in accordance with compliance and record retention requirements.
  • Cook up client appreciation events, educational seminars, and other practice initiatives.
  • Support advisors with administrative projects and daily business operations.
  • Utilize practice technology and marketing resources, including advisor websites, client communication tools, and other Ameriprise platforms.
  • Provide recommendations for improving operational efficiency and enhancing the overall client experience.

Team Collaboration & Business Support

  • Work collaboratively with advisors, paraplanners, and other team members to ensure exceptional service delivery.
  • Proactively identify issues and implement solutions with minimal supervision.
  • Manage multiple priorities while maintaining exceptional attention to detail.
  • Ensure all activities comply with firm policies, industry regulations, and compliance requirements.
  • Perform additional responsibilities as assigned to support the continued success of the practice.

Qualifications & Experience

  • Bachelor's degree required.
  • Four or more years of experience in client service, office management, or a related professional role.
  • Experience supporting high-net-worth clients in a fast-paced, service-oriented environment.
  • Experience managing complex calendars and scheduling.
  • Financial services industry experience strongly preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Exceptional attention to detail and accuracy.
  • Professional verbal and written communication skills.
  • Able to manage multiple priorities while maintaining a high level of client service.
  • Able to work independently while collaborating effectively within a small team.
