Client Experience Specialist

Carlson Financial is seeking a caring and energetic Client Experience Specialist to join our growing, prestigious company in Colorado Springs. As the primary point of contact for potential and existing clients, you will guide them from their first experience with Carlson Financial through their initial meeting with their Financial Advisor and beyond.

Responsibilities
- Sales/Marketing:
- Develop key relationships with prospective clients as the day-to-day point of contact and face of Carlson Financial.
- Understand, identify, anticipate, and manage processes affecting prospective and future clients.
- Attend marketing events regularly and actively engage with clients for scheduling and confirming appointments.
- Support the onboarding process and stabilization of new clients.
- Assist in organizing events, event supplies, and promotional materials.
- Coordinate vendor and client events.
- Develop and mail client communications, including quarterly referral letters, reallocation letters, appointment reminders, thank-you notes, birthday letters, and invitations.
- Record accurate notes from client conversations and maintain client/prospect databases.
- Manage client logs and internal checklists on OneDrive.
- Administrative:
- Answer phones and greet clients in a friendly, warm manner.
- Ensure vendor supplies and client amenities (drinks, snacks) are stocked.
- Manage filing systems and maintain compliance files (e.g., check logs).
- Attend and contribute to team meetings.
- Maintain an immaculate and organized office environment.
- Prioritize daily tasks for proactive time management.
- Provide general administrative backup support for other positions as needed.
- Event Execution:
- Ensure event locations are adequately prepared in advance.
- Engage with event location staff onsite to manage logistics.
- Oversee the setup of AV equipment in banquet and meeting rooms.
- Transport equipment to and from storage to event locations.
- Execute the referral program and referral events.
Requirements
- Client orientation with strong organizational skills.
- Excellent written and verbal communication skills.
- Attention to detail and accuracy.
Preferred Qualifications
- Some sales and marketing experience with an understanding of sales and marketing practices.
- Ability to manage daily workload with little or no supervision.
- At least one year of experience as an administrative assistant.
- Proficiency with MS Office Suite and the ability to learn new software quickly.
Schedule
This position generally follows a Monday through Friday, 8:00 AM – 5:00 PM schedule. During weeks with planned events, the schedule may be adjusted to accommodate longer or shorter days. Some Friday or Saturday nights may be required for client events, typically 1-2 events per quarter.
Pay
Starting salary range: $50,000 - $55,000.
