About the Role
As a Client Coordinator, you will play a crucial role in creating a positive first impression for our clients. You will be the central point of contact for our office, ensuring efficient communication and smooth administrative operations.Key Responsibilities
- Client Experience & Relationship Management
- First Point of Contact: Serve as the welcoming face and voice of the company, greeting clients, partners, and visitors with a professional and engaging presence.
- Inbound Communication: Manage multi-line phone systems and main email inboxes, routing inquiries accurately and ensuring a swift, high-touch response time.
- Issue Resolution: Act as a proactive problem solver for client inquiries or scheduling conflicts, escalating complex matters to the appropriate team member when necessary.
- Internal Team Collaboration & Alignment
- Cross-Functional Bridge: Serve as the central communication hub, connecting client feedback and updates directly to the internal consulting and delivery teams.
- Meeting & Calendar Logistics: Coordinate internal and external schedules, booking conference rooms, managing team calendars, and preparing necessary materials ahead of client briefings.
- Office & Administrative Operations
- Workspace Management: Maintain a clean, organized, and fully stocked office environment, managing inventory for office supplies and client refreshments.
- Data Integrity: Ensure accurate and timely entry of client notes, contact information, and documentation into the company CRM or filing systems.
- Mailing & Logistics: Handle all incoming and outgoing mail, courier packages, and general administrative paperwork.
Qualifications
- A high school diploma or equivalent required; an associate's degree preferred.
- Proven experience in a receptionist or administrative role is a plus.
- Excellent verbal and written communication skills.
- A professional and courteous demeanor.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Proficiency in basic computer applications (e.g., Microsoft Office Suite: Word, Excel, Outlook).
- The ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive and positive attitude with a strong work ethic.
- The ability to work independently and as part of a team.
