Role: Client Care Receptionist (CCR)
Status: Full-time
Schedule: Four days per week with Saturday availability required

- Keep communication flowing between clients and the medical team while helping the hospital stay organized and efficient
- Greet clients and patients warmly and professionally
- Answer and manage a multi-line phone system while balancing competing priorities
- Recognize the difference between routine and potentially urgent or emergency situations and communicate appropriately with the medical team
- Schedule a variety of veterinary appointment types
- Check clients and patients in and out
- Cover communication between clients, veterinarians, technicians, and other hospital team members
- Maintain accurate electronic and paper patient records and client information
- Prepare and process invoices and payments
- Handle cash and other financial transactions accurately
- Communicate hospital services, recommendations, and general information clearly and professionally
- Help clients understand next steps and information provided by the medical team
- Prepare and clean exam rooms as needed
- Restock retail and hospital items
- Maintain an organized, clean, and welcoming reception environment
- Provide compassionate support during stressful, emotional, or urgent situations
- Create a positive first and last impression for every client who visits our hospital
- A minimum of two years of customer-service experience assisting customers both in person and over the phone
- Previous experience in an office or medical environment
- At least one year of animal-care or veterinary experience is highly preferred
- Excellent verbal and written communication skills
- Exceptional customer-service and interpersonal skills
- Experience using multi-line phone systems
- General computer skills, including familiarity with Microsoft Office and Google Chrome
- Ability to learn new programs and software quickly
- Strong typing and data-entry skills
- Excellent organizational and multitasking abilities
- Ability to work effectively both independently and as part of a team
- A self-motivated approach and willingness to take initiative
- Ability to remain calm, compassionate, and professional during busy or emotional situations
- Strong attention to detail and accuracy
- Dependability and punctuality
- Ability to safely lift and carry up to 50 pounds
- Availability to work Saturdays as part of the regular schedule
