The Client Care Coordinator provides support with the daily activities of a medical spa, including telephone coverage, appointment scheduling, registration, opening and closing transactions, and client care.
Responsibilities
- Work a combination of weekday, weekend, and evening shifts, including opening and closing shifts
- Provide excellent client care and customer service
- Answer and screen a high volume of inbound phone calls
- Manage appointments (scheduling, moving, and canceling)
- Actively promote the clinic, treatments, services, products, programs, promotions, and discounts
- Provide accurate, appropriate, and immediate responses to all guest requests, ensuring complete satisfaction
- Accurately complete client transactions
- Manage multiple responsibilities while maintaining composure, keeping clients a priority
- Perform opening and closing duties of the clinic
- Provide basic office administrative support (mailing, faxing, sorting, typing, filing)
- Maintain complete confidentiality in all guest matters in accordance with company policy
- Assist with other duties and projects as assigned by management
Requirements
- High School Diploma or GED required; Associate’s degree preferred
- 1+ years of customer or sales experience required; experience in an aesthetic setting preferred
- Exceptional customer service skills
- Ability to be efficient and productive in a fast-paced environment
- Ability to multi-task, prioritize, and organize with a consistently high level of accuracy
- Must be a team player
- Ability to work as part of a team and take initiative independent of direct supervision
- Knowledge of Internet, Outlook, Excel, Word, and the ability to learn new software quickly
- Social media experience is a plus
- Excellent written, verbal, and interpersonal skills
- Great attention to detail and accuracy
- Consistently demonstrates good judgement, strong character and personality, ethics, and high standards of performance
- Experience in a medical office, understanding of cosmetic procedures, or skin care products
- Experience with Zenoti or other POS systems preferred but not required
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Prolonged periods of repeating the same movements, talking, and hearing
- Occasional periods of standing, walking, use of hands and fingers, handling or feeling
- Occasional reaching with hands and arms, climbing or balancing, stooping, kneeling, crouching, or crawling
- Occasionally lift and/or move up to 20 pounds and occasionally lift or move up to 30 pounds
