About the Role

Independently performs a variety of secretarial or administrative duties involved in the operation of the office. Applies both written and unwritten policies and procedures; uses knowledge of operations, programs, and general office procedures to process information and materials to assist supervisory personnel; maintains records and correspondence for the office.

Responsibilities

  • Accurately prepares, organizes, and maintains a confidential special education file for each special education student in a secure place.
  • Coordinates the scheduling of IEP/504 & SAT meetings through the use of Google Calendar.
  • Enters due dates into a calendar for all meetings.
  • Contacts parent prior to scheduling meetings to check their availability.
  • Sends all IEP/504 paperwork to parent/guardian within 7 days of the meeting.
  • Organizes and maintains adequate sets of current special education forms for school use.
  • Maintains and processes OT and PT referrals and rosters.
  • Performs other duties as assigned by the SAT chairperson, principal, or his/her designee.
  • Creates meeting packets for teachers and provides to them before the meeting.
  • Secures translators for all special education meetings as needed.
  • Checks with Special Educators in each school served each week.

Requirements

  • High school graduate or equivalent.
  • Secretarial or clerical experience; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • Associate's degree preferred.
  • One of the following:
    • WorkKeys Assessment with a passing score of at least Level 2 (call 803-739-4048 to schedule an appointment; scores must be uploaded under "Additional Materials" in the application packet).
    • Bachelor's Degree (official transcripts required).

Skills

  • Excellent written and verbal communication, organizational, and telephone skills.
  • Proficiency with technology skills, including Microsoft Word, Excel, PowerPoint, and Access.
  • Knowledge of departmental policies, procedures, and operations.
  • Working knowledge of the principles of office management and modern office procedures.
  • Knowledge of the records and forms to be prepared and maintained, including knowledge of the Special Education program.
  • Ability to interpret and apply detailed oral and written instructions.
  • Ability to read and interpret documents, write routine reports and correspondence, and speak effectively using Standard English before groups of employees.
  • Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to pass a basic skills test and technology proficiency test.
  • Ability to establish and maintain effective working relationships with students, staff, and the community.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
