Clerical Associate - Level III
About the Role
This class of positions encompasses clerical-related office activities utilizing manual and automated office systems. Duties may include supervision of employees performing routine tasks. All personnel perform related work.
Under supervision, with latitude for independent judgment, performs supervisory and/or moderately difficult clerical duties in various administrative and operational areas, including healthcare settings.
Responsibilities
- Performs responsible clerical work by processing, recording, checking, and maintaining records; files and invoices using alphabetical and numerical procedures, including data/control coding.
- Furnishes information and prepares reports requiring the selection of data from simple records or statistics.
- Performs ordinary mathematical computations and checks records for accuracy and conformity with established policies and procedures.
- Operates a telephone call directory, multi-line phone, or switchboard.
- Performs clerical operations such as filing materials and searching for difficult-to-locate files.
- Performs data entry and retrieval using a personal computer, video display terminal, or other automated office systems.
- Performs routine data processing functions in production control; may perform incidental typing.
- Supervises and instructs a small group engaged in data entry and retrieval operations.
- In the temporary absence of the supervisor (up to 30 work days or 210 hours in a calendar year), may perform supervisory duties.
- Compiles and maintains central files of patient medical records; compiles medical care and census data for statistical reports; maintains indexes on patient, disease, operation, and other categories.
- Supervises and instructs a small unit or group engaged in clerical activities; plans, assigns, and reviews work of subordinates.
- Serves as principal assistant to a supervisor of a large section or unit.
- Performs moderately difficult and responsible clerical work in maintaining and checking various records.
- Assists in preparing and arranging services and activities for receptions and public functions.
- Supervises the operation of one or more multiple switchboards.
- Performs moderately difficult data entry and retrieval using automated office systems and/or supervises staff in such functions.
- Performs responsible clerical work in areas such as personnel administration, payroll, accounts, budgeting, methods and organization, employee benefits administration, and other administrative and operational areas.
- In a shop or field setting, assists in administrative duties or performs difficult and responsible clerical tasks, such as receiving and transmitting radio and telephone messages, maintaining time and personnel records, preparing reports, requisitioning supplies, and maintaining inventory control.
- Provides clerical support in healthcare setting patient care units, including preparing, compiling, maintaining, filing, and retrieving patient medical records; recording diet instructions; requisitioning supplies; answering telephones and relaying messages; directing visitors; distributing mail and newspapers; and inventorying patient personal effects.
Requirements
- A high school diploma or its educational equivalent.
- Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales, taking and delivering orders, obtaining and dispensing information, resolving customer concerns, or performing related customer service activities.
