Responsibilities

This class of positions encompasses clerical-related office activities utilizing manual and automated office systems. Duties may include supervision of employees performing routine tasks. Under supervision, with latitude for independent judgment, performs supervisory and/or moderately difficult clerical duties.

  • Performs responsible clerical work in various administrative and operational areas, including processing, recording, checking, and maintaining records; files and invoices using alphabetical and numerical procedures, including data/control coding.
  • Furnishes information and prepares reports requiring the selection of data from simple records or statistics.
  • Performs ordinary mathematical computations and checks records for accuracy and conformity with established policies and procedures.
  • Operates a telephone call directory, multi-line phone, or switchboard.
  • Performs clerical operations such as filing materials and searching files for difficult-to-locate items.
  • Performs data entry and retrieval using a personal computer, video display terminal, or other automated office systems.
  • Performs routine data processing functions in production control and may perform incidental typing.
  • May supervise and instruct a small group engaged in data entry and retrieval operations.
  • In the temporary absence of the supervisor, may perform supervisory duties for up to 30 workdays or 210 hours in a calendar year.
  • Compiles and maintains central files of health care setting and clinic patient medical records; compiles medical care and census data for statistical reports; maintains indexes on patient, disease, operation, and other categories.
  • Supervises and instructs a small unit or group(s) engaged in clerical activities, plans, assigns, and reviews work, and ensures satisfactory completion of tasks.
  • Serves as principal assistant to a supervisor of a large section or unit.
  • Performs moderately difficult and responsible clerical work in maintaining and checking various records.
  • Assists in preparing and arranging services and activities for receptions and public functions.
  • Supervises the operation of one or more multiple switchboards.
  • Performs moderately difficult data entry and retrieval using automated office systems and/or supervises staff in such functions.
  • Performs responsible clerical work in areas such as personnel administration, payroll, accounts, budgeting, methods and organization, employee benefits administration, and other administrative and operational areas.
  • In a shop or field setting, assists in administrative duties or performs difficult and responsible clerical tasks, such as receiving and transmitting radio and telephone messages, maintaining time and personnel records, preparing reports, requisitioning supplies, and maintaining inventory control.
  • May provide clerical support in healthcare setting patient care units, including preparing, compiling, maintaining, filing, and retrieving patient medical records; recording diet instructions; requisitioning supplies; answering telephones; relaying messages; directing visitors; distributing mail; and inventorying patient personal effects.

Requirements

  • A high school diploma or its educational equivalent.
  • Six months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales, taking and delivering orders, obtaining and dispensing information, resolving customer concerns, or performing related customer service activities.

Skills

  • Competence in EPIC, Omnipro, EPACES, and insurance portals is necessary.
  • Exceptional customer service skills.
  • Good organizational and time management skills.
