City Council District 14 Community Aide/Administrative Assistant
Job Summary
The Administrative Assistant is an integral member of the District 14 Council Office. The Administrative Assistant provides administrative support to Councilwoman Odette Ramos and staff including scheduling the Councilwoman’s calendar, ensuring she is prepared for meetings and events, coordinating events, meetings, and working groups, and managing general administrative office functions.
Essential Functions
- Provide administrative support to Councilwoman and staff.
- Maintain the master calendar and schedule appointments for meetings, events, working groups, and conference calls
- Coincidentally respond in courteous and congenial manner
- Aid in event, meeting, and working group coordination
- Prepare materials for meetings and events including drafting, formatting, reviewing the printed materials, correspondence, and memos
- Attend meetings, working groups, and events with the Councilwoman as needed
- Obtain supplies for the office
- Manage and monitor office subscription services
- Assist with special projects and working groups as assigned.
- Assist with special projects within the office, which could include research, problem solving for longer term solutions to neighborhood challenges, and more.
- Aid in coordinating and staffing working groups created by the Councilwoman.
- Respond to incoming inquiries from constituents (physical mail, email, fax, and telephone calls).
- All District 14 staff assist with constituent services inquiries.
Education And Experience Requirements
- Bachelor's Degree or equivalent preferred.
- Experience in administrative tasks such as scheduling.
- Excellent writing and communications skills.
- Extensive use of Google and Microsoft Office products.
- At least two years of work experience.
Knowledge, Skills, And Abilities
- Excellent customer service and communications manner.
- Problem solving and innovative thinking.
- Knowledge of Spanish preferred but not required.
- Flexibility to work in the office as well as remotely.
Background Check
Eligible candidates under final consideration for appointments to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint must be successfully completed.
Probation
All persons, including current City employees, selected for this position must complete a mandatory six-month probationary period.
