About the role

The Childcare Center Administrator will collaborate with the Tribe’s Child Development Center and Bright Horizons team to support administrative operations, including tracking projects and grants, managing the center budget, implementing tribal curriculum, handling purchasing and logistics, planning events, and ensuring compliance with Tribal, federal, state, and licensing requirements.

Responsibilities

  • Oversees and coordinates complex administrative functions for the Child Care Center department.
  • Develops and manages grant tracking systems and reporting processes for the Childcare Development Fund (CCDF) and other grants.
  • Supports training and coordination for Center staff to meet licensing, trauma-informed care, and Snoqualmie cultural practices.
  • Stays informed on CCDF policy updates and communicates changes to leadership.
  • Maintains accurate records, tracking systems, and reports for department operations.
  • Facilitates cross-departmental communication, learning opportunities, and classroom presentations.
  • Processes payment requests, purchase orders, RFPs, contracts, and other internal documents.
  • Supports logistical coordination for tribal and community events.
  • Gathers, analyzes, and evaluates data for departmental projects and reporting.
  • Produces communication materials for departmental projects and community engagement.
  • Manages schedules for external and department educators.
  • Oversees expense tracking, grant reporting, and preparation of required materials.
  • Researches, compiles, and maintains information for department projects and programs.
  • Supports procurement and contract processes, including document preparation and submission.
  • Collaborates with Community Services departments to improve processes and communication.
  • Maintains records for contracts, purchases, agreements, and resolutions.
  • Prepares and tracks proposals, reports, and project materials.
  • Supports communication efforts for Tribal Member and public audiences.
  • Provides general office and administrative support.
  • Coordinates meetings, public events, presentations, and community activities.
  • Provides administrative and project support to the Deputy Executive Director of Community Services.

Level II: Performs all Level I duties, plus:

  • Maintains oversight and decision-making responsibility for the department budget and collaborates on annual budget development.
  • Participates in weekly director meetings and prepares action reports and monthly narrative reports.
  • Reviews and monitors grant balances, identifies funding or compliance concerns, and prepares quarterly drawdown justifications.
  • Prepares motions, RFPs, PRCs, and materials for Tribal Council review.
  • Prepares the annual 700 report and ensures accuracy of required information.
  • Resolves administrative, grant, budget, procurement, and compliance issues and escalates concerns as needed.

Additional Duties:

  • Conducts research, due diligence, and prepares reports.
  • Undertakes special projects and assignments.
  • Provides documentation and communication to the Deputy Executive Director.
  • Performs other duties as assigned, including occasional unrelated tasks to support tribal community well-being.

Requirements

  • Excellent communication skills (oral, written, in-person, and remote) for diverse audiences.
  • Advanced proficiency with Microsoft 365 (Excel, Word, Outlook, SharePoint, OneDrive, Teams, Zoom) and project management tools.
  • Strong organizational, time management, and prioritization skills.
  • Ability to balance multiple assignments and work under changing deadlines.
  • Strong attention to detail and accuracy under time constraints.
  • Ability to work independently and collaboratively.
  • Experience supporting budget tracking, expense monitoring, and administrative processes.
  • Critical thinking and problem-solving skills with minimal supervision.
  • Professional demeanor when interacting with staff, tribal members, and the public.
  • Ability to exercise sound judgment, confidentiality, and adapt to changing needs.
  • Experience coordinating schedules and meetings using Outlook, Teams, and Zoom.
  • Working knowledge of Tribal sovereignty, governance, and childcare licensing (strongly preferred).
  • Proficiency in chart, graph, table, and report formatting in Microsoft Office.
  • Strong event planning, coordination, and logistical support skills.
  • Familiarity with graphic design and content creation software.

Qualifications

Education: Bachelor’s degree in education, psychology, social services, or a related field.

Experience:

  • Level I:
    • Minimum 6 years of progressively responsible administrative experience (schedule coordination, recordkeeping, clerical tasks).
    • Minimum 3 years of finance and grant management (budgeting, reporting, financial tracking).
    • Minimum 3 years of contract and procurement management.
    • Experience with Child Care and Development Fund (CCDF) grants or related programs.
    • Experience working with or for Native Communities (strongly preferred).
  • Level II:
    • Minimum 3 years of experience with CCDF grants (reporting, monitoring, compliance).
    • Minimum 1 year of experience supporting Early Achievers requirements.
    • Minimum 3 years of experience working with Native Communities.
    • Experience managing budgets, grants, contracts, procurement, or similar functions.

Certifications/Licenses: Valid Washington State Driver’s License.

Other Requirements:

  • Must pass a pre-employment background and character investigation.
  • Must comply with the Tribe’s Controlled Substance and Alcohol Testing Policy (pre-employment screening included).
  • Must pass DCYF background check.
  • CPR/First Aid certification within 120 days of employment.
  • Mandatory Reporter Training within 90 days of employment.

Work Environment

Primarily an office environment in a controlled atmosphere building. Some remote or hybrid work may be possible in accordance with the Tribe’s Telecommuting Policy.

Pay

Hourly compensation starts at $31.56 for Level I and $36.62 for Level II, based on experience.

Schedule

This is a regular full-time position.
