About the Role
Reporting directly to the Chair, the Chief of Staff serves as an advisor and member of the Department's executive leadership team. This role handles critical and sensitive strategic, planning, administrative, operational, and communication matters, interfacing with internal and external stakeholders, including faculty, staff, students, vendors, alumni, and senior University administrators. The Chief of Staff acts as a thought partner to the Chair, managing strategic initiatives and facilitating Department-wide goals and priorities.
The incumbent maintains responsibility for the Department's Strategic Planning Initiative, coordinating execution across the system, and assisting the Chair with key strategic documents such as self-studies, long-term research and development plans, budget documents, and executive reports. The Chief of Staff oversees communications, donor/alumni outreach, and marketing initiatives, serving as the primary liaison between the Department and relevant Penn Medicine offices.
Responsibilities
- Serve as a senior advisor to the Chair in all functions and missions, contributing to strategic planning initiatives.
- Manage complex strategy and execution, internal and external communications, and multitask in a fast-paced environment.
- Handle confidential matters, foster a culture of engagement, and develop sensitive communications.
- Coordinate the execution of the Department’s strategic plan and assist in creating key strategic documents.
- Oversee communications, donor/alumni outreach, and marketing initiatives for the Department.
- Liaise with Penn Medicine Departments, including Public Relations, Strategic Marketing, and Development.
- Work collaboratively with the Executive Vice Chair, COO, and Vice Chairs to align departmental initiatives.
- Demonstrate strong decision-making, creative problem-solving, and emotional intelligence.
- Anticipate and respond to varied and demanding needs of a complex academic Department.
- Oversee multiple high-demand projects, establish deadlines, and respond effectively to challenges.
Requirements
- Master’s degree and 5 to 7 years of experience in a university and/or healthcare setting, or equivalent combination of education and experience.
- Experience as an executive-level strategic planner and communicator.
- Strong command of language and creative writing abilities, preferably in an academic medical center.
- Long-term strategic thinking and creative problem-solving skills.
- Ability to work comfortably with senior executives, faculty, and staff at all levels.
- Demonstrated ability to oversee multiple high-demand projects and meet deadlines.
- Knowledge of digital and emerging online trends, including internet media, search engines, online advertising, and social media.
- Confidence and agility in writing, synthesizing, and interpreting large quantities of information.
- Proven ability to work within a team environment and on project teams.
- Ability to work in a fast-paced, results-oriented environment.

Pay
Salary offers range from $74,476.00 to $138,391.00 annually, based on the candidate’s qualifications, experience, skills, and education as they relate to the position, as well as internal and market factors.
Position is contingent upon continued funding. Background check required after a conditional job offer is made.
