Strategic & Operational Leadership
- Serve as a trusted advisor to the CEO/leadership team, providing counsel on strategic priorities, organizational issues, and key decisions.
- Translate executive vision and quarterly/annual goals into clear execution plans with owners, timelines, and metrics.
- Run leadership team meetings and cross-departmental syncs — set agendas, drive decisions, and track follow-through on action items.
- Identify organizational bottlenecks, gaps, or risks before they become urgent, and drive resolution across departments (Operations, Finance, HR, Safety, Business Development).
- Lead or co-lead special projects on behalf of the CEO — new market entry, process standardization, systems implementation, or company-wide initiatives.
Executive Partnership & Communication
- Act as a key liaison between the CEO/leadership and department heads, regional managers, field leadership, and external partners.
- Prepare briefing materials, board/leadership presentations, and internal communications on behalf of executive leadership.
- Filter and prioritize issues escalated to the CEO, resolving what can be resolved and elevating only what truly requires executive attention.
- Represent the CEO in meetings when appropriate, and ensure decisions and commitments made are accurately communicated and tracked.
Organizational Standards & Culture
- Champion the Vanguard Standard of Excellence — the company's defined "We Always / We Never" behavioral standards — and hold teams accountable to it.
- Partner with HR and department leaders to reinforce consistent standards across field and office operations.
- Support culture-building initiatives, town halls, and company-wide communications that reinforce mission, values, and standards.
Governance & Reporting
- Track progress against company-wide goals (90-day/annual priorities) and provide regular status reporting to the CEO and leadership team.
- Cook up the rhythm of the business — board meetings, leadership offsites, quarterly business reviews — including materials, logistics, and follow-up.
- Maintain appropriate confidentiality and discretion regarding sensitive business, personnel, financial, and contractual information.
Qualifications
- 5+ years of experience in a Chief of Staff, senior operations, management consulting, or executive leadership support role; construction, trades, or field-services industry experience strongly preferred.
- Demonstrated ability to manage complex, cross-functional projects from strategy through execution.
- Exceptional written and verbal communication skills; comfortable preparing materials for executive and board-level audiences.
- Strong business acumen — able to understand financials, operations, and field realities well enough to translate between departments.
- High discretion and sound judgment in handling confidential company, financial, and personnel information.
- Bachelor's degree required; MBA or equivalent advanced degree a plus.
- Proficiency with business tools (e.g., Microsoft Office/Google Workspace); familiarity with Sage Intacct, Miter, or similar construction/HR platforms a plus.
- Strategic thinking balanced with hands-on execution.
- Buys into the collaborative culture and thrives in ambiguity and fast-changing priorities without losing organization.
- Primarily office-based with regular travel to regional offices and active job sites across the company's operating footprint.
- May require occasional evening or early-morning availability to support executive schedules or time-sensitive company needs.
