Qualifications, Knowledge, and Skill Requirements
- Minimum of an Associate’s degree from an accredited institution or actively pursuing an Associate’s degree at Indian River State College
- Strong computer skills and the capacity to learn new technologies, as needed
- Good organizational, customer service, and interpersonal skills with the ability to handle diverse situations and varying deadlines
- Experience with Microsoft Office and Windows applications to include specific familiarity with Microsoft Word, PowerPoint, and Excel
- Experience in the professional use of the telephone and public interaction
- Strong communication skills – both verbal and written
- Ability to work independently as well as with others and be self-motivated, and be able to follow deadlines
- Ability to work with a diverse student population as well as administrators, faculty and staff
- Ability to be detail oriented and to multitask
- Possess good judgment and flexibility within the position
- Knowledge of Adobe software, especially Photoshop, in design. Experience with graphic design would be preferred
Essential Job Functions and Responsibilities
- Provide clerical assistance to the department chairs as assigned
- Disseminate information to department members as assigned by the Department Chairs
- Submit department meeting agendas and summaries to the Department Chairs
- Initiate requisitions as well as purchase supplies and equipment for the Department Chairs as requested
- Aid the Department Chairs in preparing new and returning Adjunct Instructors with syllabi, textbooks, software, and systems as requested
- Taking meeting minutes and distributing accurate meeting minutes
- Manage the OneDrive folder for the School/Department
- Completing other duties and responsibilities in a timely manner
- Aid the Department Chairs in the coordination and ordering of textbooks
- Aid the Department Chairs in the coordination of Advisory Committees
- Filing, copying, typing, and completing data entry for Department Chairs as requested
- Answering telephones
- Completing other duties and responsibilities as assigned
Physical Requirements
This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, fax, calculator, telephone, and other equipment as necessary.
