About the role

The Certified Medical Assistant encompasses both administrative and clinical aspects of medical assisting.

Responsibilities

  • Room patients and complete full patient intake, including vitals, allergies, medication reconciliation, and medical history.
  • Assess patient symptoms, reactions, and physical condition.
  • Record all data in Athena EMR system.
  • Pull medical records from hospitals and laboratories, review labs to identify critical values, report critical values to the provider, and follow up with the patient as needed.
  • Perform phlebotomy and process specimens in accordance with CLIA regulations.
  • Call patients with test results or instructions as provided by the physician, physician assistant, or nurse practitioner.
  • Prepare for patient office visits and prepare lab work in patient charts. Make patient reminder calls for lab work two weeks prior to patient appointments.
  • Greet patients and perform check-in/check-out procedures in an accurate and timely manner. Collect co-pays and outstanding patient balances, print orders and educational materials for patients, schedule procedures, obtain insurance card and payment guarantor information, and check insurance eligibility.
  • Answer phone calls in a timely manner, schedule appointments, and maintain assigned clinical inboxes in Athena electronic medical record system. Demonstrate phone etiquette in accordance with Panoramic Health standards of behavior.
  • Effectively determine response priority and level for patient telephone calls and patient portal messages, consult with physician, physician assistant, or nurse practitioner, and document appropriately.
  • Assist with facilitating referrals to specialty care, imaging, or laboratory studies as ordered by the physician, physician assistant, or nurse practitioner. Coordinate with others to ensure the patient is appropriately set up for any required lab studies or imaging.
  • Scan and attach patient medical records and administrative documents in Athena. Review and process incoming faxes and flow labs that are not electronically sent.
  • Process medication authorizations and refills. Organize drug sample closet and discard expired medications appropriately.
  • Reschedule patients as appropriate by maintaining Athena automated appointment scheduling reminder system. Maintain appointment waitlist and schedule appointments from the waitlist when feasible.
  • Exercise sound judgment when dealing with challenging and stressful situations.
  • Occasionally act as a trainer for other medical support staff or students.
  • Perform other duties and responsibilities as required, assigned, or requested.

Requirements

  • At least 1 year of relevant medical assistant experience in a physician office.
  • Bilingual in Spanish highly preferred.
  • Broad understanding of clinical operations and physician office practice.
  • Nephrology medical office or dialysis experience preferred.
  • Athena electronic health record experience highly preferred.
  • Proficient in phlebotomy.
  • Experience with other secure clinical communication and billing applications such as PMD soft.
  • Demonstrates knowledge and understanding of HIPAA and other patient privacy laws. Maintains rigorous confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic, or verbal form, which may jeopardize the privacy of patients and/or employees.
  • Ability to perform basic patient data entry into Athena electronic health record and use Microsoft Office suite.
  • Comply with all HIPAA, OSHA, Compliance, and IT standards and policies.
