Central Planning Cycle Scheduler - Part Time
About the role
The Copilot Program Management Office (PMO) ensures the 12-week Cycle system—comprising meetups, milestones, and sprints—runs smoothly across a large, cross-organizational group. As the Central Planning Cycle Scheduler (Part Time), you will own the operational backbone of this system. Your role involves maintaining the planning calendar, driving the cadence of reviews and checkpoints, safeguarding planning data integrity, and communicating proactively to align dozens of workstreams and squads. You will act as the connective tissue between leadership reviews and day-to-day execution, turning a complex planning model into a predictable, repeatable operation. This is a senior individual-contributor role with broad influence across product, engineering, design, finance, and partner organizations.
Responsibilities
- Own the planning calendar and Cycle cadence:
- Build and maintain the master planning calendar for the 12-week Cycle, including meetups, kickoff week, execution sprints, midpoint replanning checkpoint, demos, retrospectives, and end-of-cycle reviews.
- Schedule and coordinate recurring leadership cadence, such as leadership reviews, monthly business reviews, and Cycle checkpoints, ensuring alignment with workstream-level reviews.
- Run the planning timeline for the next Cycle in parallel with the current one, sequencing proposal drafts, leadership alignment sessions, mission-sheet reviews, and finalization of workstreams, DRIs, and squads ahead of the next meetup.
- Drive timelines, milestones, and release visibility:
- Track milestones, sprint progress, and status across all workstreams; maintain a launch and release view to provide teams with a single, current picture of major launches, cross-team dependencies, and readiness blockers.
- Monitor progress against the plan, surface delays, resource conflicts, and schedule slips early, and drive follow-ups to keep commitments on track.
- Facilitate the midpoint replan, helping workstream owners decide where course corrections are needed and reflecting changes in the plan.
- Safeguard planning data and system-of-record integrity:
- Define the structure and readiness standards of the team's system of record, including what constitutes a complete, execution-ready plan each Cycle and the checkpoints for verifying readiness.
- Drive mission-sheet readiness each Cycle to ensure every workstream and squad enters execution with clear, measurable outcomes.
- Manage changes to the plan as scope, priorities, resourcing, and dependencies shift, minimizing disruption to teams.
- Coordinate across teams and communicate the plan:
- Serve as the central point of coordination for planning and execution across product, engineering, design, finance, and partner organizations.
- Manage cross-workstream dependencies, shared squads, and resource contention; help identify counterpart owners and align ownership across partner organizations.
- Communicate clearly and proactively to a large audience: publish schedules and deadlines, send timely reminders ahead of checkpoints, and ensure every team knows expectations and timelines.
- Codify and improve how we plan:
- Turn planning knowledge into repeatable, documented processes, templates, and governance.
- Continuously improve the planning operation through process refinement, better tooling, and automation, including AI-assisted planning, forecasting, and reporting where it adds accuracy and saves time.
Qualifications
- Required / Minimum Qualifications:
- Bachelor's Degree in a relevant field (e.g., Liberal Arts, Business Administration, Management, Computer Science) AND 4+ years of experience in financial management, business planning, operations management, strategy, project management, human resources, or business-related roles OR equivalent experience.
- Additional / Preferred Qualifications:
- Demonstrated experience owning schedules, calendars, and delivery cadence for large, cross-functional programs.
- Proficiency with project and program planning tools such as Microsoft Project, Smartsheet, Jira, Azure DevOps, or comparable platforms.
- Excellent written and verbal communication skills, with the ability to keep a large, distributed group aligned and informed.
- Experience supporting a Program Management Office or a comparable central planning or delivery-excellence function.
- Track record coordinating across multiple partner organizations and influencing without direct authority.
- Experience maintaining a planning system of record and enforcing data quality across many teams.
- Familiarity with software or platform release cycles, launch readiness, and dependency management.
- Experience applying AI-assisted or automated tooling to scheduling, forecasting, reporting, or process improvement.
- Strong bias for action, comfort with ambiguity, and a habit of getting ahead of risks before they become blockers.
Pay
This role is available at two levels:
- Business Management IC4:
- U.S. base pay range: USD $97,600 - $188,400 per year.
- San Francisco Bay Area and New York City metropolitan area base pay range: USD $125,000 - $206,400 per year.
- Business Management IC5:
- U.S. base pay range: USD $116,900 - $203,600 per year.
- San Francisco Bay Area and New York City metropolitan area base pay range: USD $148,400 - $222,600 per year.
