Responsibilities
- Operational Leadership (20%)
- Directly manage and oversee the daily operations of the Health Center, ensuring that all services are delivered in a timely, efficient, and high-quality manner.
- Collaborate with teams to define and implement key performance indicators (KPIs) that align with organizational goals. Use data to monitor trends, identify gaps, and drive evidence-based decisions that enhance patient care, safety, and operational efficiency.
- Coordinate patient flow, ensuring effective scheduling, minimal wait times, and optimal access to care for all patients.
- Facilitate interdisciplinary rounds and team meetings to promote collaboration between clinical and non-clinical staff, ensuring seamless communication across departments.
- Work with other department managers/supervisors to align operations with organizational goals and quality standards.
- Fill in for staffing shortages (MAs, Nursing, Front Desk) as necessary to ensure smooth clinic operations and quality patient care.
- Manage staff time-off requests and on-site staffing per GLBHC policies. Ensure appropriate staffing levels at all times to meet patient and provider needs.
- Financial Management (10%)
- Assist with the health center's financial performance within established guidelines, working directly with the finance and operations teams to align financial performance with organizational objectives.
- Evaluate equipment and supply requests, ensuring cost-efficient purchasing decisions are made in the best interest of the center.
- Oversee the accurate and timely submission of timesheets, monitor direct reports' attendance and work hours, identify discrepancies, and take corrective actions when necessary. Minimize overtime use by optimizing scheduling and workload balance.
- Policy and Procedure Development (5%)
- Collaborate with leadership to review operational policies and procedures that optimize the center's efficiency and patient care standards.
- Ensure compliance with organizational policies and regulatory requirements, consistently adhering to established procedures.
- Staff Supervision and Development (15%)
- Provide direct supervision and leadership to a diverse staff, ensuring appropriate staffing levels to meet patient care needs.
- Oversee recruitment, performance evaluations, timely corrective actions, and professional development for assigned staff. Follow all GLBHC policies for corrective actions and confer with HR as necessary.
- Maintain high standards of staff performance, including overseeing front desk workflows, accurate patient registration, and adherence to quality control measures. Ensure all staff work to the peak of their scope and job duties.
- Quality Improvement and Patient Experience (10%)
- Initiate and monitor Quality Improvement (QI) activities to enhance patient care, safety, and satisfaction, ensuring the health center achieves targeted performance metrics.
- Address patient complaints, grievances, and concerns promptly, working with providers and administration to resolve issues and improve the overall patient experience.
- Promote and maintain a positive image of the center within the community, fostering trust and confidence in the services provided.
- Promote integration of care and foster an environment that allows for inclusion of other disciplines and care teams to be successful in their roles.
- Operational Reporting and Analysis (5%)
- Collect, compile, and submit statistical data and operational reports to senior management, highlighting key performance indicators and patient outcomes.
- Identify and report on cost-saving initiatives, streamline workflows, and optimize resource allocation to enhance operational efficiency and maximize performance.
- Scheduling and Provider Support (10%)
- Maintain accurate provider schedules in coordination with the Assistant Clinical Services Director and Medical Director, ensuring appropriate coverage and patient access.
- Approve time-off requests, manage provider leave schedules, and ensure timely completion of timesheets and other administrative tasks.
- Address provider desk workflows and other needs to ensure smooth operations and high provider satisfaction.
- Inventory and Supply Management (10%)
- Oversee the inventory and ordering of clinical and office supplies, ensuring the health center is always adequately stocked to meet patient care needs.
- Follow best practices for supply chain management to reduce waste and maintain cost-effective inventory control.
- Manage site vaccine inventory, ensuring supplies are maintained at appropriate levels to meet patient needs. Complete and submit monthly Vaccines for Children (VFC) paperwork accurately and on time.
- Monitor and address inventory variances, ensuring proper storage and viability of vaccines.
- Maintain 340B stock medications at the site in compliance with all policies and procedures.
- Collaboration and Team Building (15%)
- Provide ongoing coaching, mentorship, and support to all team members. Identify development needs, facilitate training opportunities, and guide team members toward clinical and professional growth.
- Promote a culture of accountability, collaboration, and lifelong learning.
- Develop and communicate a clear, strategic vision that aligns with the organization's mission and goals. Inspire clinical and non-clinical teams to pursue excellence in patient care, innovation, and continuous improvement.
- Conduct regular staff meetings, huddles, and team-building activities to communicate center goals, expectations, and updates while soliciting feedback and encouraging staff input.
- Promote a positive and supportive work environment that fosters teamwork, mutual respect, and high morale.
- Marginal Job Duties
- Represent the health center in public relations activities and community events as requested to promote the services and initiatives of GLBHC.
- Monitor staff adherence to professional dress code, attendance, and company policies.
- Assist in other administrative functions as needed.
- Attend staff, provider, and administrative meetings as assigned, contributing to the ongoing development of center operations.
- Perform additional duties as assigned by the Assistant Clinical Services Director or Senior Leadership.
Requirements
- Education: Registered Nurse (RN) required; Bachelor of Science in Nursing (BSN) or Master of Science in Nursing (MSN) preferred.
- Licensure: Current RN license in the state of Michigan is required.
- Experience:
- 3-5 years of experience working in a community health or hospital setting required; understanding of healthcare operations is highly desirable.
- Minimum of 3 years of experience in a healthcare or clinical setting required; 5 years or more preferred.
- Minimum of 3 years of supervisory or management experience required; 5 years or more preferred.
- Skills:
- Proven strong leadership, organizational, and decision-making skills.
- Ability to set priorities and manage competing demands in a fast-paced environment.
- Demonstrated problem-solving skills, including handling patient complaints and staff performance issues.
- Self-motivated, with the ability to work independently and effectively with minimal supervision.
- Detail-oriented with excellent time-management skills and the ability to prioritize multiple tasks.

- Excellent communication skills, with the ability to interact effectively with diverse populations, patients, providers, staff, and community members.

- Physical Effort: Ability to lift and carry up to 25 lbs.
Schedule
Full-time on site, with flexibility required to accommodate varying shifts, including occasional evenings or weekends.
Travel
Travel between GLBHC sites is required. Some out-of-area travel may be necessary. Travel expenses will be reimbursed in accordance with GLBHC travel policy.
