Center Manager
About the role
The Center Operations Manager plays an integral part in Kaleidoscope ABA's mission to deliver therapeutic services to children with autism. This role involves day-to-day staff and services management, recruitment, scheduling, customer service, reporting, and general administrative tasks to support center operations. The manager maintains accurate records related to staffing and service delivery, assists in creating and managing a master schedule, and ensures adequate staffing for clinical cases based on budgeted hours authorized by insurers.
The Operations Manager supports HR, Operations, and Clinical departments, acting as a liaison between administrative and clinical staff. They serve as the primary point of contact for case assignment and staff availability and may take on additional duties as needed.
Responsibilities
- Manage day-to-day staff and service operations at the center.
- Oversee recruitment, scheduling, and customer service.
- Maintain accurate records for staffing and service delivery per case.
- Create, maintain, and manage a master schedule, ensuring adequate staffing for clinical cases within budgeted hours.
- Support HR, Operations, and Clinical departments in their respective functions.
- Act as a liaison between administrative and clinical staff, serving as the primary point of contact for case assignments and staff availability.
- Communicate effectively with staff, clients, peers, and management.
- Perform general administrative tasks and reporting.
- Additional duties as assigned based on company needs.
Requirements
- Bachelor’s Degree or equivalent work experience; degree in Marketing, Business Administration, or Healthcare Management preferred.
- 5 years of management experience in a professional environment, preferably in medical, behavioral health, PT, OT, or similar settings.
- Experience building and retaining customers.
- 5 to 7 years of experience managing and developing staff.
- Strong rapport-building skills and ability to manage staff effectively.
- Professional knowledge of business operations, growth, staff scheduling, personnel management, and customer acquisition.
- High standard of ethical conduct and respect for confidentiality.
- Ability to work independently, manage multiple tasks, prioritize, and meet deadlines.
- Excellent time management, organization, and attention to detail.
- Superb communication skills, both written and verbal.
- Professional appearance and presentation.

- Strong sense of urgency and ability to work under pressure.
- Ability to administer processes consistently across the center.
- Excellent listening and communication skills with management, staff, and families/clients.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).

- Ability to maintain accurate records, work in databases, and track processes.

Schedule
Full-time position with core hours of 7:30 AM to 5:00 PM. Hours may vary depending on recruitment projects or company needs. Must be available to read and respond to emails and accept calls outside of work hours as required.

- Considerable stress may occur due to pressure to meet service requirements.
- Must fulfill duties regardless of hours worked; performing these duties on a full-time basis is an essential function of the position.
