Responsibilities
- Convening and implementing events and meetings
- Sending emails to various stakeholders such as the Executive Committee, External Advisory Committee, and students for recruitment to the PIEP program (on behalf of manager, director, research specialist)
- Updating and maintaining Center email lists and weekly newsletters (preparation and distribution)
- Supporting center manager in administrative functions such as maintaining records of Executive Committee Meetings, initiating meeting polls and emails
- Processing speaker reimbursements and honoraria
- Organizing catering for receptions, presentations, workshops, and colloquia; overseeing pre- and post-event preparation and cleanup, organizing and running A/V
- Preparing presentations, gathering relevant material for conferences, etc.
- Handling all printing and digital distribution of documents relating to committee presentations, workshops, and other meetings
- Developing high quality print materials/pdfs for events
- Communications: Coordinating with PIIRS and other university offices to manage event publicity via websites and other forums, online communications & website: Editing and posting CGI event announcements, short news articles, social media stories and updating the CGI website weekly, working with the Manager and Faculty Director
- Making regular and timely updates to the website and posts to social media
- Course and Student Engagement Support: Supporting/leading PIEP at Princeton through student recruitment/outreach, interview scheduling, info sessions logistics support for the field coordinator (if separate from this role)
- Updating the CGI website for campus-wide courses relevant to CGI
- Maintaining the student funding requests and managing annual thesis awards process
- Supporting Faculty Director in CGI communications and activities
- Managing the Director's reimbursements, correspondence
- Preparing and reconciling reports for expenses
- Providing support to the Director's research workshops related to CGI activities
- Supporting communications of the Faculty Director
Qualifications
- Bachelor's degree or equivalent education and experience
- Experience in events management
- Knowledge of business process management tools and financial applications like Concur
- Emails, calendar and Zoom skills to organize faculty or stakeholder meeting times, locations and implement these meetings
- Lead email newsletters and event campaigns via Constant Contact, Mailchimp, or similar email platforms
- Ability to multitask and work independently with high attention to detail and follow-through
- Demonstrated Experience with social media or other forms of large scale communications
- Enjoy working in a fast-paced, project-driven office
- Tactfully handle confidential information
- Comfort with Zoom videoconferencing
- Proficient writing and editing skills in using Microsoft Office Suite, including PowerPoint, Canva (with examples of prior writing or posters)
- Video and photo editing skills for posters and newsletters desirable
- Strong work ethic
- Experience engaging undergraduate students
