Responsibilities

  • Perform daily office duties, including answering phones, preparing proposals and contracts, filing, and creating client event files (BEOs, invoices, floor diagrams, and Pre-Meals)
  • Attend and take notes during catering and private dining meetings as requested
  • Distribute weekly and daily BEO packets and other appropriate weekly communications to the operations team and conduct weekly reporting
  • Send event follow-up correspondence and evaluations
  • Participate in client prospecting and planning meetings, as requested by the Director of Food & Beverage
  • Produce BEOs, invoices, floor plans, and all other administrative documents for all private events and non-member golf outings
  • Maintain Event & Experience Virtual Documents and Materials
  • Ensure proper setup and cleanliness of event spaces, enforce uniform standards, manage event closure responsibilities, and inspect facilities for compliance with health laws and internal regulations
  • Produce post-event reports and client follow-up communications
  • Assist with property tours when requested

Requirements

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred
  • Proven experience as an event coordinator or in a similar role
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in event management software and tools
  • Creative problem-solving skills and attention to detail
  • Ability to work under pressure and meet tight deadlines
  • Ability to manage multiple projects simultaneously
