Responsibilities
- Perform daily office duties, including answering phones, preparing proposals and contracts, filing, and creating client event files (BEOs, invoices, floor diagrams, and Pre-Meals)
- Attend and take notes during catering and private dining meetings as requested
- Distribute weekly and daily BEO packets and other appropriate weekly communications to the operations team and conduct weekly reporting
- Send event follow-up correspondence and evaluations
- Participate in client prospecting and planning meetings, as requested by the Director of Food & Beverage
- Produce BEOs, invoices, floor plans, and all other administrative documents for all private events and non-member golf outings
- Maintain Event & Experience Virtual Documents and Materials
- Ensure proper setup and cleanliness of event spaces, enforce uniform standards, manage event closure responsibilities, and inspect facilities for compliance with health laws and internal regulations
- Produce post-event reports and client follow-up communications
- Assist with property tours when requested
Requirements
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred
- Proven experience as an event coordinator or in a similar role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in event management software and tools
- Creative problem-solving skills and attention to detail
- Ability to work under pressure and meet tight deadlines
- Ability to manage multiple projects simultaneously
