Care Coordinator (Medical Receptionist/PSR)
Responsibilities
- Create a welcoming, professional first impression for patients, visitors, and referral sources.
- Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls.
- Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps.
- Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits.
- Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed.
- Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation.
Qualifications
- A High School Diploma or GED.
- Experience in a medical front desk, healthcare reception, physical therapy, chiropractic, dental, or similar clinical office setting.
- Strong communication, organization, multitasking, and follow-up skills.
- Comfort using computers, phones, scheduling systems, electronic medical records, email, and basic spreadsheets.
- Ability to discuss payments, scheduling expectations, and basic insurance information with professionalism.
- A calm, patient-centered approach with strong attention to detail and a willingness to help the team.
About the Role
ProActive Physical Therapy, a member of the Confluent Health family, is seeking a Full Time Front Desk Medical Receptionist to join our Salmon Creek/Ridgefield teams. The position offers competitive pay ($19-$21 per hour) and flexible schedules (Salmon Creek: Mon-Thur 1:30pm-6:30pm, Ridgefield: Friday 7:00am-6:00pm).
This role is part of a dynamic team that sets the tone for the entire patient experience. You will be responsible for managing front desk operations, handling patient inquiries, and ensuring smooth patient flow. This is a fast-paced, multi-tasking role where your ability to stay calm, follow through, and take ownership can make a direct impact on both patients and the clinical team.
