About the role

The Campus Support Specialist (CSS) is responsible for the daily operation of their location, handling administrative and operational duties while ensuring institutional policies and procedures are followed. The CSS assists all departments, reports directly to the Campus Manager, and shares some responsibilities with them.

Responsibilities

  • Resolve campus-level requests, questions, concerns, or challenges or direct them to the appropriate department.
  • Open campus and set up for the day, ensuring Lync rooms are ready for operational services.
  • Assist with office tasks such as onboarding new staff, providing tours and keys to new employees, managing mail, distributing payroll checks, and filing incident reports.
  • Assist students with grievance processes by routing questions/documents to appropriate staff members.
  • Ensure institutional policies and procedures are followed.
  • Prepare, complete, and deposit banking deposits every Tuesday and Thursday.
  • Submit supply and scrub orders to procurement per schedule.
  • Complete monthly reconciliation of banking, AMEX card purchases, and associated tasks.
  • Greet customers in a friendly manner while maintaining a neat and stocked reception area.
  • Answer main phone lines, route calls, set up video interviews, and direct appointments.
  • Enter, audit, and correct enrollment agreements in CNS, and send hourly reports as required.
  • Update CNS records accurately and upload pertinent documentation for Admissions and other departments.
  • Receive, upload, and document immunization records for extern students.
  • Assist with transcript requests for High School, GED, or College as necessary.
  • Provide campus tours to prospective students, obtain scrub sizing, and take photos for student ID cards.
  • Manage staff Outlook calendars by tracking video appointments and interviews.
  • Post and send mail daily, accept and post student payments, and assist with bank deposits.
  • Check and maintain inventory of print materials and marketing collateral.
  • Keep video rooms stocked with necessary materials and prep them for use.
  • Administer/proctor entrance or certification exams, pull and log test scores when requested.
  • Coordinate and complete pre-orientation duties, including orientation packets, sign-in sheets, name tags, food, room setup, and cleanup.
  • Address and route student concerns to appropriate support staff or manager.
  • Provide ongoing communication with the Student Service Campus Support Manager.
  • Assist in arranging and participating in offsite community events at the discretion of the Student Services Campus Support Manager.
  • Participate in campus events, including commencement ceremonies and PAC meetings.
  • Assist students with password changes.
  • Coordinate and maintain student-related displays and department bulletin boards, ensuring compliance-approved content.
  • Create and update an electronic resource manual quarterly, identifying area resources for students (e.g., public transportation, internet/computer availability, daycare, utilities).
  • Provide Admissions sit updates to required personnel daily during start week.
  • Follow all procedures outlined in department manuals and posted directives, adhering strictly to accrediting agency and U.S. Department of Education guidelines.
  • Participate in annual professional development activities.
  • Perform other duties as assigned by the Campus Manager.

Requirements

  • 2 years minimum combined work experience in business, customer service, education, or sales.
  • Some college or degree preferred.
  • Data entry and report writing experience required.
  • Ability to multi-task and prioritize duties.
  • Excellent written and verbal communication skills.
  • Proficient computer skills in Word, Excel, Outlook, database software, and internet use.
  • Dynamic, punctual, responsible, ethical, and a team player.
  • Must pass an annual driving record check and have valid insurance.

Pay

$16.66 to $19.60 per hour, dependent on experience, knowledge, and education level.

Schedule

Full-time (40 hours per week).

Monday–Thursday: 10:00 a.m. – 7:00 p.m.

Friday: 8:30 a.m. – 5:30 p.m.
