About the Role

The Campus Student Recruitment and Retention Specialist (CSRRS) is the campus-level responsible staff for all student marketing, recruitment, and retention programs. This includes managing application, registration, and enrollment of new students, as well as re-enrollment and retention of current students. The CSRRS will be evaluated based on the completion of annual campus targets:

  • Student Application Target: Actively work during and after the Apply Harmony Festival to meet the campus annual application target.
  • Student Registration Target: Actively work during and after the Registration Race to meet the campus annual registration target.
  • Registration Verification Target: Reach out to new and re-enrolled parents during the summer to verify registration.
  • Student Enrollment Target: Ensure the campus’ first FSP enrollment meets or exceeds the annual enrollment target.
  • Student Re-Enrollment Target: Actively work during re-enrollment periods to meet the campus annual re-enrollment target.
  • Enrollment Maintenance Target: Maintain campus enrollment numbers by filling available spots from the waiting list as soon as withdrawals occur.
  • Student Retention Target: Conduct exit surveys for withdrawn students’ parents and enter data into the tracking document.

The CSRRS is also responsible for maintaining student records at the campus level in accordance with Harmony Public Schools (HPS) record management policies.

Responsibilities

  • Support the mission, vision, and values of Harmony Public Schools and comply with school and division regulations.
  • Handle routine technical and administrative tasks, including operating standard office equipment (e.g., word-processing, data processing, copiers, laminators).
  • Review newly enrolled students’ documents for SPED, Section 504, dyslexia, ESL, or GT information and add students to suspect lists for related programs.
  • Track newly enrolled students until proper orientation is complete and ensure all checklists are finalized.
  • Monitor withdrawing students, ensure exit procedures are followed, and enroll new students to fill available spots to maintain enrollment targets.
  • Register and maintain data for new, current, and withdrawn students in the database, including withdrawal reasons and documentation.
  • Respond to and initiate TRex requests for newly enrolled students.
  • Collaborate with ESL, Special Ed, and GT departments to request and send student records.
  • File incoming records from other schools and distribute them to relevant departments.
  • Respond to faxed record requests and initiate requests for newly enrolled students.
  • Call previous schools to request records for newly enrolled students.
  • Maintain soft copies of all student files and ensure confidentiality of student and personnel information.
  • Maintain physical and computerized records, including cumulative folders, progress reports, class rosters, schedule changes, and grade books.
  • Coordinate printing and distribution of report cards.
  • Assist counselors with enrollment, withdrawals, transfers, and processing applicable records.
  • Process and transmit requests for student information, including transcripts for colleges and universities.
  • Assist campus administration and counselors with reports and student data preparation.
  • Take necessary precautions to protect students, equipment, materials, and facilities.
  • Check and review data for accuracy, completeness, and adherence to standards.
  • Model non-discriminatory practices in all activities.
  • Communicate with school and district leaders regarding enrollment projections, recruitment, and retention efforts, and develop plans to meet targets.
  • Process applications daily and utilize campus social media for recruitment and retention.
  • Participate in recruitment events and activities to meet application targets.
  • Attend community events, organize open houses, school tours, parent nights, and recruitment fairs.
  • Manage local marketing efforts, including visits to businesses, neighborhoods, and Harmony partners.
  • Maintain constant communication with families until all required documents are obtained and registration is complete.
  • Manage engagement efforts with prospective parents and students.
  • Communicate actively and timely with parents to complete re-enrollment forms.
  • Utilize a tracking system to organize re-enrollment of students.
  • Organize school-wide incentives to increase re-enrollment percentages.
  • Organize student referral incentives for parents.
  • Contact current and new families twice during the summer to verify enrollment for the upcoming school year.
  • Follow up with leads from paid digital ads.
  • Attend all training and meetings provided by Central and District Offices.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED.
  • Minimum of 2 years of experience in school operations (preferred).

Skills

  • Ability to communicate effectively in both written and oral forms with all levels of management, internally and externally.
  • Ability to establish and maintain effective working relationships within and outside the district.
  • Proficiency in using computers, including district software, databases, spreadsheets, word processing, calculators, copiers, and telephones.
  • Ability to analyze data and generate reports.
  • Effective interview techniques, public speaking skills, and problem-solving abilities.

Work Environment and Physical Requirements

  • Light work: may require occasional light lifting.
  • Nights and weekend activities may occasionally be required.
  • Position is primarily office-based, involving prolonged work at a desk in one location.
  • Moderate travel is required.
