About the role
As the C-Suite Executive Assistant, you will be responsible for administrative functions such as maintaining calendars, screening visitors, handling correspondence, arranging business travel, and any special projects.
Responsibilities
- Provide high-level administrative support to three members of our C-Suite.
- Manage complex calendars, schedule meetings, and coordinate logistics with internal and external stakeholders.
- Prepare correspondence, reports, memos, and other key documents with accuracy and professionalism.
- Coordinate domestic and international travel arrangements, including accommodations, itineraries, and expense tracking.
- Assist with meeting preparation, follow-ups, and conference room arrangements.
- Handle day-to-day office needs such as record maintenance, catering coordination, and light bookkeeping.
- Partner with a team to organize daily executive lunches and support special projects or events.
- Use sound judgment, discretion, and confidentiality in handling sensitive company information.
- Perform additional administrative duties and special assignments as needed.
Qualifications
- High school diploma required; Bachelor's degree in Business Administration or a related field preferred.
- 5–10 years of experience supporting senior executives, ideally at the C-suite level.
- Proven experience managing complex calendars, executive travel, and high-volume priorities.
- Exceptional communication skills—both written and verbal.
- Strong organizational skills and meticulous attention to detail.
- Excellent time management skills with the ability to meet tight deadlines.
- Proficiency in Microsoft Office, Google Suite, and similar productivity tools.
- Knowledge of office administration, clerical procedures, and recordkeeping systems.
- Ability to type at least 50 words per minute.
- Professional, poised, and able to work effectively with individuals at all organizational levels.
- A proactive problem-solver who anticipates needs and finds efficient solutions.
Schedule
- Office environment.
- Variable hours including nights and weekends upon business needs.
- Must be able to sit at a desk for extended periods of time.
- Limited travel required.
