Responsibilities
- Provide administrative claims support, ensuring external and internal customers have an outstanding experience and de-escalating upset or frustrated customers.
- Take first notice of loss reports, accurately enter new loss information into the claim system, and route claims for assignment to the correct adjuster.
- Draft and send initial contact letters, gather policy documents, order police reports, and coordinate vendor assignments.
- Assist adjusters with SIU referrals, acknowledgment letters, and vendor payments.
- Draft correspondence such as underwriting advisories and client contact letters.
- Maintain data and update Excel worksheets.
- Process and attach mail, email, faxes, and physical evidence into the correct claim files, accurately labeling and categorizing them.
- Serve as the first level of contact for external customer service inquiries.
- Notify business partners by phone or email regarding messages, inquiries, and claims issues.
- Request W9 forms from vendors.
- Process expense and invoice payments.
- Post financial transactions such as salvage, subrogation, and deductible recoveries to the claim system.
- Prepare check attachments.
- Download claim files to CDs for attorney and suit assignments.
- Transfer data received via CD to the claim system.
- Prepare attorney assignment packets for lawsuits, including specific attachments, file copies, and mailing preparation.
- Transcribe recorded statements.
- Update and maintain on-call lists.
- Assist claim adjusters with administrative and clerical assignments.
- Perform other duties and projects as assigned.
Requirements
- Bachelor’s degree or some college preferred.
- Minimum of 2+ years of relevant experience.
- Self-motivated and results-oriented.
- Capable of working with internal and external teams and partners.
- Superior customer service skills.
- Positive attitude and professional demeanor.
- Strong computer skills, including proficiency in Excel and Outlook, with the ability to master multiple policy and claims systems.
