Description Job Summary: The Business Operations Administrator supports the day-to-day administrative and operational needs of Adams Brown Technology Specialists. This position works across multiple areas of the business, including human resources, payroll, finance, business development, customer success, office administration, and executive support. The ideal candidate is highly organized, dependable, comfortable managing a variety of responsibilities, and willing to step in wherever support is needed. This role requires strong communication skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-moving environment. FLSA Status: Non-exempt Requirements Key Responsibilities: Human Resources and Payroll Support Assist with payroll preparation, documentation, and related administrative tasksSupport employee onboarding and offboarding activitiesHelp respond to general employee questions and direct employees to the appropriate resourcesCoordinate and distribute employee communications from Adams Brown and other internal departmentsCoordinate employee records, forms, and administrative documentation between Adams Brown Technology Specialists and AdamsBrown, LLC.Assist HR with scheduling, training coordination, benefits communications, and other HR-related activities. Finance and Accounts Receivable Support Assist with accounts receivable communications and client payment follow-upHelp clients navigate payment portals and resolve basic billing or payment issuesSupport agreement and billing reconciliationsDeposit checks and maintain appropriate documentationGather, organize, scan, and submit receiptsAssist with invoice documentation, internal reporting, and other finance-related administrative tasks Business Development Support Support marketing campaigns, client communications, and promotional activitiesHelp plan and coordinate conferences, client events, community events, and business development activitiesMaintain prospect, opportunity, and event information within company systemsAssist with ordering promotional materials, event supplies, and client gifts Customer Success Support Provide administrative support to Business Relationship ManagersAssist with meeting preparation, client documentation, follow-up items, and schedulingAssist the quoting & procurement team with quoting, procurement, and proposal-related tasksHelp organize client information, reports, presentations, and account-related materialsSupport customer communications directed by the Business Relationship Management team Shipping, Receiving, and Procurement Support Receive, document, organize, and distribute incoming hardware and equipmentCoordinate outgoing shipments and maintain shipping recordsReceive and distribute company mail and deliveriesAssist with equipment inventory, asset documentation, and order trackingCoordinate with vendors, internal team members, and clients regarding product deliveriesHelp maintain an organized inventory and receiving area Office Administration Maintain office supplies, snacks, beverages, and other shared resourcesCoordinate internal meetings, celebrations, team events, and company activitiesHelp maintain an organized, professional, and welcoming office environmentServe as a point of contact for office vendors, building needs, and general administrative requests Executive Support Provide administrative support to members of the C-Suite and leadership teamCoordinate calendars, meetings, travel arrangements, and leadership activities as neededPrepare documents, presentations, reports, and meeting materialsTrack leadership action items and assist with follow-upAssist executives with special projects and other business priorities Desired Skills, Abilities And Characteristics Strong organizational and time-management skillsInterest in innovating and improving operational processesExcellent written and verbal communication skillsHigh level of attention to detail and accuracyAbility to manage multiple priorities and adjust as business needs changeProfessional judgment and the ability to maintain confidentialityComfortable working with employees, clients, vendors, and senior leadershipProficiency with Microsoft Outlook, Word, Excel, PowerPoint, and TeamsExperience with payroll, accounting, CRM, procurement, or HR systems is beneficial but not requiredWillingness to learn new software, systems, and business processes; AI familiarity a plus Working Conditions This role will work primarily onsite, physically in office. Our office is open from 8:00 am - 5:00 pm Monday through Friday. Additional hours (overtime) and travel may be required. Travel to client offices does not typically require overnight stays. Possible on call duties, with extended hours.
