Business Operations Administrator
Job Summary
The Business Operations Administrator supports the day-to-day administrative and operational needs of Adams Brown Technology Specialists. This position works across multiple areas of the business, including human resources, payroll, finance, business development, customer success, office administration, and executive support. The ideal candidate is highly organized, dependable, comfortable managing a variety of responsibilities, and willing to step in wherever support is needed. This role requires strong communication skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-moving environment.
Requirements
Human Resources and Payroll Support: Assist with payroll preparation, documentation, and related administrative tasks; support employee onboarding and offboarding activities; help respond to general employee questions; coordinate and distribute employee communications; coordinate employee records, forms, and administrative documentation; assist HR with scheduling, training coordination, benefits communications, and other HR-related activities.
Finance and Accounts Receivable Support: Assist with accounts receivable communications and client payment follow-up; help clients navigate payment portals and resolve basic billing or payment issues; support agreement and billing reconciliations; deposit checks and maintain appropriate documentation; gather, organize, scan, and submit receipts; assist with invoice documentation, internal reporting, and other finance-related administrative tasks.
Business Development Support: Support marketing campaigns, client communications, and promotional activities; help plan and coordinate conferences, client events, community events, and business development activities; maintain prospect, opportunity, and event information within company systems; assist with ordering promotional materials, event supplies, and client gifts.
Customer Success Support: Provide administrative support to Business Relationship Managers; assist with meeting preparation, client documentation, follow-up items, and scheduling; assist the quoting & procurement team with quoting, procurement, and proposal-related tasks; help organize client information, reports, presentations, and account-related materials; support customer communications directed by the Business Relationship Management team.
Shipping, Receiving, and Procurement Support: Receive, document, organize, and distribute incoming hardware and equipment; coordinate outgoing shipments and maintain shipping records; receive and distribute company mail and deliveries; assist with equipment inventory, asset documentation, and order tracking; coordinate with vendors, internal team members, and clients regarding product deliveries; help maintain an organized inventory and receiving area.
Office Administration: Maintain office supplies, snacks, beverages, and other shared resources; coordinate internal meetings, celebrations, team events, and company activities; help maintain an organized, professional, and welcoming office environment; serve as a point of contact for office vendors, building needs, and general administrative requests.
Executive Support: Provide administrative support to members of the C-Suite and leadership team; coordinate calendars, meetings, travel arrangements, and leadership activities as needed; prepare documents, presentations, reports, and meeting materials; track leadership action items and assist with follow-up; assist executives with special projects and other business priorities.

Working Conditions
This role will work primarily onsite, physically in office. Our office is open from 8:00 am - 5:00 pm Monday through Friday. We are closed on major holidays, offer substantial paid-time-off, a comprehensive benefit package, competitive pay structure, and a culture of growth, clarity, and respect. Additional hours (overtime) and travel may be required. Travel to client offices does not typically require overnight stays. Possible on call duties, with extended hours.
