About the role

Business Office Managers are vital to our communities' success, handling both Human Resources and Financial functions. This role ensures smooth operations in Accounts Receivable, Accounts Payable, and Human Resources while maintaining compliance with federal, state, and company policies.

Responsibilities

  • Process resident move-ins, move-outs, billings, status changes, payments, bank deposits, and rate changes in the resident module.
  • Handle Accounts Payable: invoice entry, payment processing, expense reimbursements, credit card charges, vendor file maintenance, and 1099s.
  • Manage Human Resources: process payroll, timesheet corrections, onboard new employees, maintain personnel files, and handle unemployment and workers' compensation claims.
  • Coordinate with the Executive Director and Marketing Department to meet resident administration needs.
  • Work with the Reporting Accountant to ensure accurate financial reporting.
  • Maintain resident administrative files and manage the Concierge team.
  • Assist in developing annual administrative budgets.
  • Process payroll and manage new hire paperwork, including I-9s, drug tests, background checks, and reference checks.
  • Participate in new hire orientation to review HR and payroll topics.
  • Monitor employee benefits eligibility and submit insurance and 401(k) applications.
  • Pay taxes as required and monitor employee vacation and sick hour balances.
  • Manage the Employee Appreciation Program, background checks, TB tests, and pre-employment exams.
  • Ensure compliance with COBRA, FMLA, and other regulatory issues in collaboration with the Regional HR Manager.
  • Supply requested financial and HR information to stakeholders, including owners, executives, auditors, and accounting firms.
  • Collect accounts receivable and prevent past-due accounts.
  • Prepare daily, weekly, monthly, and annual reports as needed.
  • Work with third-party payers and maintain professional confidentiality.

Requirements

  • Minimum high school diploma; associate’s or bachelor’s degree in business, accounting, or related field preferred.
  • Minimum 2 years of experience in bookkeeping, human resources, and/or office management.
  • Proficiency in typing, telephone skills, and use of office equipment (calculators, computers, copiers).
  • Familiarity with chart of accounts, basic bookkeeping, payroll, tax reports, financial reports, and government agencies (Department of Labor, IRS).
  • Knowledge of W-2, W-4, W-9, and 1099 forms.
  • Ability to work well with staff, residents, and families; meet deadlines; and organize and prioritize workload.
  • Positive attitude, compassion for the elderly, and thoughtful conduct.

Pay

$104,000/year (exempt).

Schedule

Monday - Friday.
