About the Role

As a Morning Pointe Business Office Manager, you are entrusted with assisting residents, families, coworkers, visitors, and others while demonstrating Morning Pointe’s Mission & Values. The primary purpose of this position is to assist in the day-to-day accounting, payroll, and human resources functions of the Community in accordance with current accounting principles, payroll, and HR policies. You will handle new hire orientation, benefits administration, payroll, associate files, and general accounting duties, including accounts receivable, accounts payable, and entries for ADP/HRB. This role involves providing innovative administrative functions, improving systems and processes, and achieving superior results.

Responsibilities

  • Develop and maintain relationships with residents, families, associates, and guests.
  • Handle inquiry calls and conduct tours within the community as a backup to assist with the sales process.
  • Develop and maintain relationships with referral sources from various settings.
  • Assist in developing and implementing a marketing plan.
  • Follow up and follow through on the sales process for facility inquiries as a backup for the Executive Director.
  • Prepare and analyze reports to track and adjust data as needed for the community.
  • Provide clerical and administrative support services, including greeting callers and guests.
  • Collect, monitor, and prepare reports for the Executive Director.
  • Perform business office functions such as census reporting, payables, payroll, and general accounting.
  • Maintain files in accordance with state, federal, and regional laws.
  • Assist in Human Resource functions, including background checks, drug screenings, E-verify, I-9, new hire orientation, benefits, OSHA logs, and workers' compensation.
  • Review Swipe Clock and Payroll, and assist with benefit management.
  • Track expenditures on a weekly spend-down form and assist with expense receipt reconciliations.
  • Answer phones professionally and assist residents and families with questions and issues.
  • Assist with billing, accounts receivable, and accounts payable.
  • Facilitate timely deposits of checks and cash.
  • Maintain an organized calendar of appointments and events for the Executive Director.
  • Assist with Manager on Duty responsibilities and ensure the property is always tour-ready.
  • Monitor the telephone on-hold message to ensure it is playing and seasonally correct.
  • Supervise the Receptionist on all shifts and weekends.

Requirements

  • High-school diploma or equivalent (two-year degree preferred).
  • Minimum of one (1) year of experience in bookkeeping, accounting, payroll, or Human Resources practices.
  • Intermediate computer skills and knowledge; experience with Word, Excel, and Outlook.
  • Sales or marketing experience is a plus.
  • Experience in healthcare accounting preferred but not required.
  • Excellent verbal, telephone, and written communication skills.
  • Proven ability to work independently and self-directed.
  • Experience in filing and organizing in an office setting.
  • Comfortable with computers and programs such as Word, Excel, and Outlook.
  • Team player with a hospitality orientation.
  • Ability to assist the Executive Director with inquiry calls and tours.
  • Professional appearance and demeanor.
  • Ability to train and supervise receptionists.
  • Ability to read, write, speak, and understand English with strong communication skills.
  • Ability to make independent decisions when circumstances warrant.
  • Tactful and professional when dealing with personnel, residents, family members, visitors, and government agencies.
  • Typing speed of 45 words per minute and proficiency with a 10-key calculator.
  • Ability to work harmoniously with other personnel.
  • Ability to plan, organize, develop, implement, and interpret programs, goals, objectives, and policies for accounting, payroll, and HR.
  • Patience, tact, cheerful disposition, and enthusiasm when interacting with residents, staff, and visitors.
  • Ability to seek out and incorporate new methods and principles into existing accounting practices.
  • Knowledge of computers, data entry, retrieval, and output.
  • Ability to examine and verify financial documents and reports.
  • Ability to prepare financial and other records in a systematic, neat, and legible manner.

Physical and Sensory Requirements

  • Evacuate residents during emergency situations.
  • Meet general health requirements set forth by organizational policies, which may include a medical and physical examination.
  • Frequent lifting, carrying, pushing, pulling, stooping, bending, turning, and stretching.
  • Finger and hand dexterity required.
  • Visual and hearing acuity essential.
  • Ability to understand and carry out written and oral instructions.
  • Ability to perform basic mathematical computations.

Lifting Requirements:

  • 1-10 lbs. constantly (paper, files, resident charts).
  • 11-20 lbs. frequently (equipment and supplies).
  • 21-35 lbs. constantly (equipment and supplies).
  • 36-50 lbs. constantly (equipment and supplies).

Schedule

Hourly non-exempt position requiring 40 hours per week as assigned, with a schedule reflecting the needs of the Community. As a non-exempt hourly associate, you are required to report all time worked and absences daily. Overtime must be pre-approved by your supervisor.
