Business Office Associate

About the Role
Assists patients, visitors, providers, and office staff in a courteous and friendly manner. Performs all duties efficiently and timely while maintaining a positive patient flow. Serves as an office liaison when required.
Schedule
Full-time day shift, 4 days per week (Monday–Thursday, 7:00 AM–5:00 PM) with flexible Fridays.
Qualifications
- Minimum Education: High School Diploma or Equivalent
- Minimum Years of Experience: 6 months in a related field involving administrative support and customer service activities
- Substitutable Education & Experience: Experience can be substituted for successful completion of a Medical Office Administrative Assistant certificate program
Responsibilities
- Maintains a positive attitude and harmonious relationships with all contacts, including phone, correspondence, and in-person meetings.
- Demonstrates appropriate communication for all age groups:
- Infant – birth to 1 year
- Child – 1 year through 12 years
- Adolescent – 13 years through 17 years
- Adult – 18 years through 65 years
- Geriatric – over 65 years
- Responds to all patient and office staff requests promptly.
- Performs duties as assigned by authorized personnel or in emergencies (e.g., fire or disaster).
- Provides communication support:
- Telephone (answering, transferring calls)
- Orders/Messages – accurate and timely relay of information
- Scheduling (referrals, appointments, ancillaries, surgeries, hospital admissions)
- Manages medical records:
- Documentation and forms
- Electronic chart maintenance
- Image files, faxing, copying, and mail handling
- Handles office operations:
- Enter/verify/correct patient demographics and insurance information
- Obtain necessary signatures and consents
- Post charges/payments and collect payments for office visits
- Daily updates, deposits, and cash drawer maintenance
- Screen and collect unpaid balances
- Provide financial counseling as needed
- Work accounts receivable and precertification/authorization
- Operate and maintain office equipment (e.g., fax, copier) and ensure routine maintenance, supply ordering, and log sheets
- Additional duties:
- Participate in in-service/education, department orientation, and annual training
- Maintain clerical log sheets/audits (e.g., samples, equipment)
- Assist with coding (E&M/basic visits, office procedures, complex visits, surgeries, hospital services)
- Prepare correspondence and statistical reports
- Support accounts payable and payroll
- Chaperone patients when needed
- Provide guidance on clerical policies and procedures
- Perform all other duties as assigned
