About the role
As an Office Associate, you will effectively operate the front desk for the distributorship, handling phones, paperwork, and general accounting while performing all administrative duties that support distributor operations.
Responsibilities
- Accurately maintain accounts payable and accounts receivable, including auditing, paying, and filing vendor invoices according to company policy and procedure.
- Handle collections, prepare customer invoices, purchase orders, and delivery tickets accurately and timely.
- Perform monthly, quarterly, and year-end close efficiently, accurately, and on schedule.
- Verify deposits are accurate and made on a timely basis.
- Upload and download handheld computer devices and process data according to a set schedule.
- Provide exceptional customer service both in person and over the phone.
- Support front counter retail as needed.
- Maintain dealer database.
- Assist with inventory count and research variances.
- Perform all other duties as assigned.
Requirements
- High school graduate (or equivalent); some college preferred.
- At least one year of administrative support experience in a warehouse or retail environment.
- At least one year of bookkeeping or accounting experience, including AP, AR, and Collections.
- Proficient in Microsoft Office products, including Outlook and Excel.
- Multi-line phone experience required.
- Demonstrated use of professional etiquette required.
- Excellent verbal communication skills.
- Previous experience in a customer-facing role.
- Ability to multi-task, quickly transitioning from one function/task to the next.
- Strong organizational skills with the ability to prioritize tasks.
- Works with a high degree of accuracy and attention to detail.
- Approaches tasks with a sense of urgency.
- Must work effectively in a team environment.
- Strong data entry skills.
Work Environment
- Office environment with exposure to battery warehouse conditions, including moving equipment, mechanical parts, fumes, airborne particles, and toxic or caustic chemicals.
- Specific vision abilities include close vision, depth perception, and the ability to adjust focus.
- Regularly required to stand, walk, hear, talk, and use hands to grasp and handle objects.
- Occasional lifting up to 25 lbs. without assistance.
- Ability to sustain extended periods of sitting, with occasional standing and walking throughout the day.
- Prolonged use of personal computer and telephone.
- Use of Personal Protective Equipment (PPE) may be required.
