About the role
The Business Development Coordinator plays a crucial role in the BD function, keeping the pipeline current, tracking market activity, supporting conference and event logistics, and ensuring the BD team can operate at full speed.
Responsibilities
- Maintain BD pipeline records: Keep opportunity, lead, pursuit status, and contact activity records current and accurate within Unanet’s pipeline and CRM modules, following the standards and workflow established by the BD Manager.
- Update contact records: Enter and maintain client, prospect, teaming partner, and consultant contact information in Unanet; flag duplicates, outdated records, and missing information to the BD Manager for resolution.
- Support pipeline reporting: Pull regular pipeline and activity reports from Unanet to support the BD Manager’s weekly and monthly reporting to the BD Director; flag anomalies or gaps in data accuracy.
- Clean handoff of opportunity data to the Marketing Operations team when an opportunity moves from BD pipeline to active pursuit.
- Monitor procurement activity: Track RFQ/RFP releases, institutional and state meeting minutes, project announcements, and procurement postings across target markets and clients; flag relevant opportunities to the BD Manager on a regular cadence.
- Support market research: Monitor client websites, industry publications, association news, and competitor activity to support the BD Manager’s market intelligence function; summarize findings in clear, usable formats.
- Maintain target client and market files: Build and update organized reference files on target clients, market sectors, and teaming partners so the BD team has current, accessible intelligence when pursuing opportunities.
- Coordinate conference and event logistics: Manage registrations, sponsorships, hotel and travel coordination, materials preparation, and scheduling for industry conferences, association events, and firm-hosted client events.
- Track the firm’s professional association memberships, conference registrations, and industry involvement by staff; coordinate renewals and ensure the firm’s presence is current and organized.
- Schedule client meetings, site visits, and outreach calls for partners and project managers; prepare briefing materials, draft agendas, and capture follow-up action items.
- Prepare BD materials: Support the preparation of client presentations, capability one-pagers, and meeting prep materials in coordination with the BD Manager and Marketing Operations team.
- Pitch in as needed: Support firmwide BD and marketing initiatives including internal events, award submissions, and special projects as directed by the BD Manager or BD Director.
- Develop familiarity with Newcomb & Boyd’s markets, clients, project types, and competitive landscape—this knowledge is what makes BD support genuinely useful rather than purely administrative.
Requirements
- Associate’s or Bachelor’s Degree in Marketing, Communications, Business, or related field.
- Strong organizational skills with exceptional attention to detail—especially in data entry, record maintenance, and deadline tracking.
- Proficient in Microsoft Office Suite; comfortable learning CRM and database platforms quickly.
- Clear and professional written and verbal communication skills.
- Demonstrated initiative and dependability; able to manage multiple tasks and competing deadlines without dropping the ball.
- Genuine curiosity about the A/E/C industry and how professional services firms build client relationships and win work.
- Collaborative mindset and willingness to work across two closely coordinated teams—BD and Marketing Operations —with different but complementary ownership of the same platform.
Preferred Qualifications
- 1–3 years of experience in a marketing, business development, or administrative support role.
- Experience with Unanet or a comparable CRM/database platform.
- Familiarity with the A/E/C industry, public sector procurement, or professional services marketing.
- Experience coordinating events, conferences, or logistics for a professional team.
- SMPS student membership or interest in pursuing CPSM certification.
