Responsibilities
- Oversee mail-related projects from kickoff through final delivery, ensuring each stage is tracked accurately and completed according to committed timelines.
- Cook up with clients and cross-functional teams to ensure receipt of required materials, including data files, mailing content, and supporting assets needed for production.
- Keep an eye on project schedules, production checkpoints, and service expectations to spot risks early and help keep work on pace.
- Keep organized tracking tools and project records to support accurate visibility across active mailing initiatives.
- Inspect operational data like volume trends, turnaround times, and workflow performance to find issues and support better planning.
- Prepare reports, dashboards, and visual summaries that communicate project status, delivery performance, and other key operational metrics to stakeholders.
- Give timely updates to clients and internal partners regarding milestones, dependencies, potential delays, and completed work.
- Propose process improvements that bolster tracking, reporting, documentation, and workflow efficiency, including support for automation or system enhancements when appropriate.
- Document procedures and maintain current standard operating guidelines to promote consistency across mail operations.
Requirements
- Bring strong analytical thinking, clear communication, and the ability to manage multiple moving parts in a deadline-driven service environment.
Qualifications
- Experience in business analysis, operations support, or project coordination within a fast-paced service environment.
- Strong ability to organize detailed information, manage deadlines, and track multiple projects at the same time.
- Proficiency with spreadsheets, reporting tools, and data analysis used to monitor performance and support decision-making.
- Ability to create clear client-facing reports and translate complex operational information into practical insights.
- Comfortable working across teams such as operations, IT, production, customer support, and related business functions.
- Knowledge of process improvement methods, including identifying gaps, refining workflows, and supporting more efficient ways of working.
- Strong written and verbal communication skills, with the ability to participate professionally in stakeholder meetings and status discussions.
