The Role We are looking for a highly organized, detail-oriented Business Affairs Coordinator to support the administration of artist, label, and partner deals. This coordinator will play an essential role in maintaining accurate deal records, coordinating contract execution, assisting in royalty splits, and ensuring key deliverables move efficiently from intake through implementation. The ideal candidate is comfortable working with contracts, deal terms, spreadsheets, royalty data, and internal systems; has excellent follow-through; and is excited to build operational rigor in a fast-moving music company. What You’ll Be Doing Support the intake, organization, and administration of a high volume of business affairs agreements, deal materials, amendments, and related documentsSupport in reviewing deal materials and implement approved royalty splits accurately across applicable internal systemsCoordinate royalty split setup and maintenance for standard distribution deals, including bB, cC, SoundExchange, Indify, and other partner or program-specific agreementsPrepare and input RODO breakdowns and supporting data, ensuring records are complete, properly categorized, and accurately reflected in internal systemsMaintain organized digital filing systems by uploading, labeling, and routing executed agreements and supporting documents to the appropriate artist, label, and account recordsManage new music-delivery intake, including tracking submissions, monitoring required materials, and coordinating with relevant internal stakeholders to ensure delivery readinessSupport implementation and ongoing tracking of LODs, including confirming receipt, routing required documentation, recording relevant terms, and following up on outstanding itemsOwn and maintain deal-flow trackers that reflect each deal’s current stage, responsible parties, outstanding deliverables, execution status, and next stepsCoordinate DocuSign workflows, including preparing documents for circulation, routing agreements to the appropriate signatories, monitoring completion, and filing fully executed copiesTrack priority terminations, expiration dates, notice periods, and required follow-up actions to help ensure timely internal communication and executionConduct research on deal terms, rights, royalty questions, company and artist information, and other business affairs matters as neededPartner closely with Business Affairs, Royalties, Distribution Operations, Finance, Artist & Label Services, and other internal teams to ensure deal terms are accurately communicated and implementedIdentify gaps, inconsistencies, or missing documentation and proactively escalate them to the appropriate stakeholdersHelp improve business affairs processes, templates, trackers, and filing conventions as the team and company continue to scale What We Are Looking For 1-3 years of relevant experience in music, entertainment, legal administration, royalties, licensing, distribution operations, or a related fieldExceptional attention to detail and a demonstrated ability to manage sensitive information and confidential documents responsiblyExperience working with spreadsheets and trackers; proficiency in Google Workspace and/or Microsoft Office, particularly Google Sheets or ExcelFamiliarity with DocuSign or comparable electronic-signature platformsAbility to prioritize multiple projects, meet deadlines, and maintain accuracy in a high-volume, fast-paced environmentStrong written and verbal communication skills, with the ability to follow up professionally and work effectively across teamsA proactive, solutions-oriented approach and comfort operating within evolving processes and systemsExperience with royalty platforms, contract-management tools, music metadata, SoundExchange, or music-distribution workflows is a plus Why Work at Too Lost We invest in our team with comprehensive benefits designed to support your health, growth, and creativity. 🏥 Health Insurance — Employer-provided health coverage via Anthem Blue Cross Blue Shield, plus Dental, Vision, and Life Insurance💪 Wellness Packages — Up to $100/month toward gym memberships and wellness opportunities🎵 Free Music Distribution — A free Too Lost account with unlimited music distribution, for life🌴 Paid Time Off — Two weeks guaranteed PTO plus additional paid holidays🎉 Events & Discounts — Company-sponsored events and partner discounts🕐 Flexible Schedule — Flexible hours and remote roles available💰 401(k) Plan — Participation in our available 401(k) plans📈 Competitive Compensation — Competitive base salaries with opportunities for commissions and bonuses We may use artificial intelligence (AI) tools to support parts of the hiring process, such as reviewing applications, analyzing resumes, or assessing responses and identifying potential inconsistencies or verification signals in application materials based on available information.
