Principal Job Functions

  • Schedules outpatient, inpatient, and procedural appointments based on provider orders and patient preferences.
  • Collects and enters accurate demographic, insurance, and appointment information into electronic systems.
  • Communicates preparation instructions, arrival details, and follow-up information to patients or representatives.
  • Receives and processes referrals and physician orders through phone, fax, or electronic workflows.
  • Collaborates with provider offices and departments to resolve missing or incomplete scheduling information.
  • Responds to inbound and outbound calls, messages, and inquiries using approved communication tools.
  • Supports pre-registration activities, including outbound calls and verbal consent as applicable.
  • Identifies uninsured or self-pay patients and initiates referral to financial assistance resources.
  • Maintains productivity, quality, and service standards in a fast-paced scheduling environment.

Required Knowledge, Skills And Abilities

  • Knowledge of computer hardware, office equipment, telephonic communication systems, scheduling platforms, and software applications relevant to work functions.
  • Knowledge of federal regulations, corporate compliance requirements, third-party payer guidelines, and healthcare privacy standards.
  • Knowledge of medical terminology, insurance plans, and healthcare office operations.
  • Knowledge of correct grammar, spelling, punctuation, and documentation standards to support accurate patient information management.
  • Skill in delivering exceptional customer service and building positive patient, provider, and customer relationships.
  • Skill in verbal and written communication, attention to detail, and accurate information gathering and documentation.
  • Skill in problem-solving, exercising professional judgment, and managing competing priorities in a fast-paced environment.
  • Ability to establish and maintain effective working relationships with physicians, staff, healthcare organizations, and diverse patient populations.
  • Ability to communicate effectively, conduct crucial conversations with desired outcomes, and maintain confidentiality of sensitive information.
  • Ability to work independently with minimal supervision, prioritize workload effectively, and maintain regular and punctual attendance.

Education And Experience

  • A high school diploma or equivalent is required.
  • Experience in healthcare scheduling, patient access, or customer service operations is preferred.
  • Must be at least 19 years old to witness legal consents.
