Moffitt Services is a Texas-based fuel and lubricants distributor committed to providing quality fuels, lubricants, and superior service to customers operating heavy equipment, generators, automotive and truck fleets, and more. We offer ultra-low sulfur diesel for on-road and off-road use, biodiesel, Diesel Exhaust Fluid (DEF), gasoline, ethanol, E85, and kerosene, as well as a full line of quality lubricants.
Responsibilities
- Assist the team in ensuring vendor and customer invoices accurately include state-specific sales and use taxes, fuel taxes, and environmental fees.
- Generate and issue accurate invoices to customers based on fuel delivery tickets, supplier rates, and fuel broker terms.
- Conduct statement reconciliation to verify that all broker transactions are accurately recorded and discrepancies are resolved promptly.
- Seek and record supplier delivery confirmations into the Vendor Dispatch.
- Verify broker pricing; identify and resolve discrepancies by communicating with dispatch, sales, or brokers.
- Maintain organized billing records and collaborate with dispatch, sales, and accounting to clarify service details and delivery info.
- Use billing system to run reports and support reconciliation tasks.
- Respond to basic customer inquiries about invoices and escalate complex issues to broker sales reps or broker sales manager.
- Act as broker point of contact for routine questions and problem resolution.
- Maintain a positive working relationship with team members and management in a team environment.
- Support resolution of any customer issues/concerns in a Win/Win fashion.
Requirements
- Must have experience reviewing and processing invoices for compliance with state-specific sales and use taxes, fuel taxes, and environmental fees.
- Must be friendly, clear speaking, and able to work with patience and courtesy in customer relations.
- Must have computer efficiency including CRM, Microsoft Office, Excel, and QuickBooks.
- Ability to work independently without direct supervision.
- Must have strong communication abilities and be able to interface and work with supervisors, managers, and all departments including sales, operations, logistics, and accounting.
- Detail-oriented with excellent organizational and multitasking skills.
- Must possess a sense of urgency.
- Team-first mentality.
- Ability to thrive in a fast-paced environment.
Qualifications
High school diploma or equivalent (GED) required; additional education or training is a plus.
