Branch Logistics Coordinator

Responsibilities
- Process orders submitted by Account Executives according to the Sales Order Process document and Branch Order Coordinator best practices.
- Determine order type (Equipment: Move/Pickup, Trials, Sale, Lease and Rental; Software, Consulting, or Maintenance Agreement).
- Verify that the Account Executive has submitted all necessary paperwork.
- Obtain credit approval based on established guidelines.
- Verify the accuracy and pricing of each line item on the sales order.
- Process any revisions to sales orders by adding or removing items, changing pricing, revising bill-to and ship-to information.
- Project manage the delivery, installation, and training process in accordance with DIT Coordinator best practices.
- Serve as the customer’s point of contact through the completion of delivery, installation, and training.
- Lead the effort to obtain the required logistical delivery and installation information as well as identifying training needs of the customer.
- Organize internal planning and coordinate with Set-up Team and Field Service Manager(s) to develop set-up strategy and planning for complex installations, larger orders and/or heavier workloads.
- Cook with ElevITy and Project Management/Project Coordinator teams as needed for IT support, uniFLOW and other complex connectivity installs.
- Participate and/or lead meetings as a member of the GFC team to strategize roll out, develop an implementation plan, and to coordinate both GFC and customer resources to allow for smooth management of the project.
- Manage the delivery, install and training projects utilizing established best practices and documented workflow within Gateway and eAutomate.
- Process all types of paperwork that relate to the position both accurately and legibly including electronic document handling systems such as Laserfiche.
- Demonstrate an extensive knowledge of the Inventory Management procedures and Best Practices and complete the full scope of inventory related department tasks.
- Demonstrate proficiency in the following task areas within eAutomate so that the order process is managed digitally: Sales order processing, Service call input & dispatch, Equipment record updating & management, Customer record creation & management, Prepare sales orders to be shipped, Complete daily updates of sales orders to ensure the accuracy of the Sales Order Log.
- Work closely with Account Executives and various other departments as required.
- Aid the service department as needed for loaner equipment and parts procurement.
- Manage inventory at the branch, including but not limited to: supplies, demo equipment, stock, third-party lease returns, used and wholesale equipment.
- Warehouse duties on an as needed basis include, but are not limited to: Monthly inventory of all warehouse items, Manage the third-party lease returns and used equipment wholesale processes, Managing toner recycle program, Coordinate transfers of equipment between branches, Receive shipments from vendors/suppliers into system, Resolving freight and vendor damage claims.
Requirements
- High school diploma or equivalent.
- Excellent verbal and written communication skills.
- Strong attention to detail.
- Excellent organizational skills.
- Ability to problem solve and handle multiple tasks both effectively and efficiently.
- Ability to provide an excellent customer experience even when under pressure.
- Proficient with Microsoft Office applications, including Word, Excel, and Outlook.
- Learn and use proprietary company software.
- Available to work overtime with little or no advance notice.
- Ability to push or lift equipment weighing 50+ lbs. on wheels.
Qualifications
- Associate or Bachelor’s degree preferred.
- Previous logistics and/or inventory control experience preferred.
